Job Description
The Front Desk Receptionist/Representative is the first point of contact for all visitors and callers to the office. They are responsible for providing a positive and professional first impression while ensuring smooth and efficient office operations.
Responsibilities
- Reception Duties: Greet and welcome visitors to the office in a professional and friendly manner; Answer and direct phone calls, taking messages as needed; Schedule and confirm appointments; Maintain the reception area and ensure it is clean and presentable; Manage incoming and outgoing mail and packages; Assist with office administrative tasks as needed.
- Office Support: Order and maintain office supplies; Assist with meeting preparation and coordination; Support other administrative staff as needed.
- Customer Service: Provide excellent customer service to all visitors and callers; Handle inquiries and complaints professionally and efficiently; Build and maintain positive relationships with clients and vendors.
Experience
Prior experience as a receptionist or in a customer service role preferred.
Education
High School Diploma or equivalent required.
Skills
- Excellent communication and interpersonal skills (both written and verbal).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively.
