Transcom Worldwide (Philippines), Inc. is seeking a proactive Facilities Specialist for our Pasig site. You will manage site facilities, assist with maintenance, coordinate with stakeholders, and ensure safe, orderly office operations to support service delivery.

You will handle equipment monitoring, inventory, vendor communications, and daily administrative tasks under the Facilities Manager. Growth opportunities exist within a dynamic, people-focused environment.

Qualifications

• Bachelor's/College degree required.
• 1–4 years of relevant experience preferred.
• HVAC knowledge and facility systems familiarity expected.
• Ability to manage time and stay organized in a fast-paced environment.
• Experience in performance-driven settings is a plus.

Responsibilities

• Maintain inventory database and assist preventive maintenance activities.
• Coordinate with vendors and technicians; create and track work orders.
• Provide reports on inventory and maintenance status to Facilities Manager.

The Facilities Specialist supports the company’s goals by facilitating cost effective efforts to keep clean, well maintained, and safe sites that empower employees to better serve customers, while striving for satisfying and mutually beneficial relationships with our internal and external stakeholders. The primary objective is to serve as a point of contact for all site facility related issues; facilitate communication and cooperation with stakeholders, vendors, building administration, internal clients maintain office/buildings (plumbing, electrical, HVAC, etc.) in good repair and safe condition; and establish cost containment /efficiencies where applicable.

Essential Duties & Responsibilities:

Equipment Management & Inventory

• Conducts regular monitoring of all site critical equipment together with site MTS. Assists in preventive maintenance activities and other facilities activities.
• Maintain database of inventory of company equipment. Including all incoming and outgoing company assets
• Provide bi-weekly update/report to the Facilities Manager on status of inventory of general office supplies and monitors facilities supplies inventory levels.
• Monitors and ensures proper maintenance of company vehicles & fleets and shuttle services
• Creates work orders and assigns work orders to technicians, subcontractors and vendors. Communicates work orders to technicians and assists management in resolving problems
• Provides reports on open and closed work orders and checks status with the appropriate technician or vendor
• Assists with the daily office inspections.

Reception & Administration

• First level point of contact for all site facilities related concerns and inquiries.
• Assist overseeing and controlling the day-to-day running of all Facilities Management Department
• Facilitate External Mail & Courier pickups/deliveries
• Provide administrative support to the Site Facilities Manager
• Ensure all site common areas are maintained in the neat, organized and professional manner.
• Carry out any other duties that may be assigned from time to time.
• Processes invoices and ensures proper department charging
• Maintains files on work orders, proposals, government and department files. Creates vendor files and checks accuracy on completed paperwork submitted by vendors.
• Responds to inquiries and concerns. Ensures timely and quality service delivery. Follow-up with stakeholders to ensure customer satisfaction.
• Monitors and assists in deploying room reservations and allocations.
• Assists in preparations for site visitors & guests.
• Monitors housekeeping and site cleaning and maintenance.
• Provides assistance in completion of facilities activities.

Additional Specific Duties & Responsibilities:

• Assist the Facilities Manager in identifying long-term trends and needs in asset services. Assist in setting goals for the Department, and in formulating plans to ensure that the Department’s human resources, intellectual capability and information technology ability can meet those goals
• Set up a system for regular inspection of the efficiency and effectiveness of all management operations, procedures and systems with the team of Facilities Manager, Administrative and Technical Services Team to ensure a high level of stakeholder satisfaction

What we are looking for:

To be successful in this role you must…

• Candidate must possess at least a Bachelor's/College Degree, any field.
• Preferably 1-4 Yrs Experienced Employees.
• Preferably with knowledge on HVAC (Heating, Ventilation, and Air Conditioning), FM200 System, UPS System, ATS, and Generator Maintenance
• Manage your time effectively and be focused on setting clear objectives and priorities.
• Have worked in a performance driven environment before.
