Responsibilities

  • Greet visitors, clients and employees at the front desk with a warm professional demeanor.
  • Handle incoming calls and emails, routing and providing information as needed.
  • Coordinate meeting room bookings and ensure spaces are prepared for scheduled appointments.
  • Manage visitor access, security protocols and maintain visitor logs per policy.
  • Support facilities operations by coordinating maintenance requests and liaising with service providers.
  • Maintain office supplies and ensure common areas are organized and stocked.

What this job involves:

As our Facilities Assistant cum Receptionist, you'll be the welcoming face of our workspace and the hands-on professional who keeps our facilities running smoothly.

This dual role combines exceptional customer service with practical facilities management, creating an environment where both clients and colleagues can thrive.

You’ll manage front-of-house operations with professionalism and warmth while coordinating essential facilities tasks that keep our workplace safe, functional, and inviting.

What your day-to-day will look like:
  • Greet visitors, clients, and employees with a warm, professional demeanor and manage the front desk reception area
  • Handle incoming calls, emails, and inquiries, directing them appropriately and providing accurate information
  • Coordinate meeting room bookings, ensure spaces are prepared and equipped for scheduled appointments, and maintain conference room standards
  • Manage visitor access procedures, security protocols, and maintain accurate visitor logs in compliance with building and company policies
  • Support facilities operations by coordinating maintenance requests, liaising with building management and service providers, and tracking work orders to completion
  • Maintain office supplies inventory, place orders as needed, and ensure common areas remain well-stocked and organized
  • Monitor and respond to facilities-related issues including lighting, HVAC, cleanliness, and equipment functionality, escalating urgent matters appropriately
  • Assist with mail and courier services, including receiving, sorting, and distributing incoming deliveries and coordinating outgoing shipments
  • Support workplace health and safety initiatives by conducting routine inspections, reporting hazards, and helping maintain emergency preparedness materials
Required qualifications:
  • High school diploma or equivalent, with at least 1-2 years of experience in a receptionist, front desk, or administrative support role
  • Strong interpersonal and communication skills with the ability to interact professionally with diverse stakeholders at all levels
  • Proven ability to multitask and prioritize competing demands in a fast-paced environment while maintaining attention to detail
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and experience with visitor management or facilities management software is advantageous
  • Basic understanding of building operations, facilities maintenance practices, and workplace health and safety principles
  • Demonstrated problem-solving abilities and a proactive, customer-service-oriented mindset
  • Flexibility to occasionally work outside standard business hours for events or urgent facilities matters
Preferred qualifications:
  • Associate degree or certification in facilities management, hospitality, business administration, or a related field
  • Previous experience in a corporate environment, particularly within commercial real estate or property management settings
  • Familiarity with integrated workplace management systems (IWMS) or computerized maintenance management systems (CMMS)
  • Knowledge of sustainability practices and experience supporting green building or workplace wellness initiatives
