Pleco Inc. is seeking an Estimating & Project Administration Assistant to support estimating, procurement and project delivery for internal lining projects. The role requires interpreting drawings, completing quantity take-offs and maintaining strong document controls.
The position is remote as part of the CSL team, supporting from tender review through procurement, cost tracking and project close-out. It’s a technical, construction-focused role, not a general virtual assistant.
ROLE OVERVIEW
The Estimating & Project Administration Assistant supports the company estimating, procurement and project delivery functions across commercial internal linings projects, including plasterboard wall and ceiling systems, metal framing, suspended ceilings, fire-rated and acoustic systems, and associated finishing works.
The role requires a practical understanding of commercial construction and internal linings, together with the ability to accurately interpret drawings and specifications, complete detailed quantity take-offs, assist with pricing and procurement, and maintain strong project and document controls.
Working remotely as part of the CSL team, the position supports projects from initial tender and drawing review through estimating, subcontractor engagement and procurement, and into project delivery, variations, cost tracking and close-out analysis.
This is a construction-focused role requiring technical understanding and attention to detail and is not a general virtual assistant position.
LIST OF DUTIES
Estimating & Quantity Take-Offs
Review architectural, reflected ceiling, internal wall and other relevant construction drawings.
Complete detailed material and labour quantity take-offs in accordance with CSL estimating rules and measurement procedures.
Measure wall lengths and areas, ceiling areas, bulkheads, soffits and associated internal lining items.
Identify wall types, ceiling systems, lining types, framing requirements and fire-rated or acoustic requirements.
Break quantities down into practical unit material counts, including studs, track, plasterboard, insulation, fixings and associated components.
Separate quantities by building, level, unit type, common area, work package and construction stage as required.
Prepare estimating worksheets, tender summaries and supporting mark- ups.
Apply approved labour rates, material costs, wastage allowances and productivity rates.
Maintain and update CSL's estimating pricebooks, labour rates and estimating reference information.
Scope & Tender Administration
Read and interpret drawings, specifications, schedules, addenda and tender documentation.
Assist with preparing clear and detailed scopes of work for CSL, suppliers and subcontractors.
Identify and record exclusions, qualifications, assumptions, scope gaps and tender risks.
Prepare requests for quotation and issue the required documents to suppliers and subcontractors.
Prepare subcontractor scopes, tender mark- ups and supporting documentation.
Maintain contractor tender documentation within the company Dropbox under the relevant contractor and project folders.
Compare supplier and subcontractor quotations and prepare tender comparison schedules.
Record drawing revisions and assess whether changes may affect CSL's original tender or contract scope.
Assist with tender submissions and compilation of supporting documentation.
Procurement & Material Support
Prepare plasterboard, metal framing, insulation, access panel, fixing and other relevant material schedules.
Convert take-off quantities into practical material order quantities, taking account of approved wastage and staging requirements.
Prepare supplier material orders ready for approval and issue when required on site.
Track supplier pricing and product availability.
Maintain project procurement registers and follow up outstanding supplier information.
Assist with reconciling ordered quantities against estimated quantities.
Monitor material usage, wastage and project cost information and flag material variances or unusual trends.
Project Administration & Document Control
Maintain accurate project registers, trackers, filing systems and supporting records.
Manage drawing registers and revision tracking and promptly notify the project team when drawings or specifications change.
Review drawing revisions and assist in identifying changes that may constitute a variation or departure from CSL's original contract scope.
Assist with variations, dayworks, cost tracking and supporting records.
Update labour allocation, productivity and cost records as required.
Follow up outstanding information from suppliers, subcontractors and project stakeholders.
Maintain orderly project documentation within CSL's nominated systems, including Dropbox and Procore where applicable.
Research new products, systems and installation requirements and develop and maintain CSL installation manuals and internal reference guides as required.
Cost, Productivity & Continuous Improvement
Assist with tracking actual labour, material usage and procurement costs against estimate and budget.
Produce actual-versus-estimate data at project and work-package level for use in future tenders.
Identify recurring estimating, procurement or productivity variances and provide clear information to CSL Management.
Help improve estimating templates, price books, take-off methods, procurement registers and project administration processes.
Maintain accurate historical project information so completed project data can strengthen future pricing and estimating decisions.
Systems & Reporting
Use CSL's nominated construction and document-management systems consistently and accurately.
Maintain current project information in Procore where required, including drawings, documents, registers and supporting project records.
Use Bluebeam Revu, AutoCAD, Microsoft Excel and other nominated software to complete take-offs, mark- ups, drawing reviews, comparisons and project records.
Prepare clear status updates, registers and reports for estimating, procurement and project delivery teams.
Escalate discrepancies, missing information, pricing concerns, scope uncertainty or unresolved issues rather than making assumptions.
REQUIRED EXPERIENCE & SKILLS
Previous experience in construction estimating, quantity surveying, procurement or project administration.
Ability to confidently read and interpret construction drawings, specifications and schedules.
Demonstrated experience completing material and labour quantity take-offs.
Strong Microsoft Excel skills and a high level of numerical accuracy.
High attention to detail, with the discipline to check work carefully and identify inconsistencies.
Good written and spoken English and the ability to communicate questions clearly.
Ability to follow established estimating rules, measurement procedures and document-control processes.
Strong organisation, prioritisation and document-control skills.
Reliable internet connection and a suitable home-office setup.
Ability to work independently, manage deadlines and communicate promptly when information is unclear or incomplete.
PREFERRED EXPERIENCE
Commercial plasterboard, drywall, internal linings or ceiling systems.
Metal stud framing and suspended ceiling systems.
Fire-rated and acoustic wall and ceiling systems.
Australian commercial construction and familiarity with Australian architectural drawings and specifications.
Bluebeam Revu.

Preparing scopes of work, variations, purchase orders, material orders and subcontractor comparison schedules.
WORKING ARRANGEMENTS
Availability during agreed Australian business hours is required to support communication with the CSL team, suppliers and subcontractors.
The role may commence with a trial or probation period.
The successful candidate must maintain strict confidentiality of CSL pricing, labour rates, client information, tender information and project documentation.
The role is remote; however, the same standards of responsiveness, accuracy, security and accountability expected of an office-based team member apply.
