Job summary

Smartsourcing Inc. is seeking a full-time, onsite Document Controller in Cebu City to safeguard the integrity and version management of aviation manuals and related documentation.

You will format and organize documents without changing technical content, ensuring accuracy and traceability for AOC readiness. Ideal candidates bring strong attention to detail, experience with document libraries (SharePoint/M365), and excellent written communication.

Qualifications

• Demonstrated experience in document control and version management.
• Experience maintaining document libraries (SharePoint, Microsoft 365) is highly desirable.
• Background or experience in aviation/aerospace documentation is advantageous.

Hi! We're Smartsourcing, and we're hiring a full-time, onsite Document Controller to keep a suite of operational manuals accurate, current, and under proper version control — the backbone of aviation compliance documentation.

About the Role

As a Document Controller, you'll safeguard the integrity, accuracy, and controlled management of a suite of operational manuals and supporting documentation that helps airline operators reach and maintain their Air Operator Certificate (AOC). You'll control document versions across the manual suite, keep libraries well-organised and accessible, and format lengthy technical documents to house standard — without ever altering their technical content. This isn't an authoring role: you're the one who keeps everything the directors, consultants, and contractors produce accurate, traceable, and up to date. It's a role for someone exceptionally detail-oriented and highly organised, with the written comprehension to control complex documents with confidence.

Key Responsibilities

Document Control & Version Management

• Control the versions of all manuals and supporting documentation across the suite
• Ensure documents are current, correctly numbered, traceable, and issued under proper version control

Manual & AOC Documentation Support

• Support the preparation, maintenance, and control of the manual suite required for Air Operator Certificate (AOC) readiness and ongoing compliance

Document Formatting & Presentation Control

• Check, format, and standardise received documents — including lengthy technical documents with graphics, tables, and cross-references — to ensure consistency with house style and controlled-document standards, without altering their technical content

Document Library & Records Management

• Maintain accurate, well-organised document libraries (e.g. SharePoint, Microsoft 365), ensuring correct storage, access control, and retrieval of controlled records
• Stakeholder Coordination & Communication
• Coordinate with directors, consultants, and contractors regarding document requests, revisions, approvals, and version updates

Quality, Accuracy & Process Compliance

• Ensure adherence to established documentation standards, version-control procedures, and confidentiality requirements across all controlled documents

Artificial Intelligence (AI) Readiness and Digital Enablement

• Maintain baseline AI literacy and use approved AI tools responsibly, in line with company policies, data privacy, information security, and client confidentiality obligations
• Apply sound judgment by validating outputs and avoiding overreliance, ensuring accuracy and accountability in all work delivered
• Participate in AI readiness trainings and proactively identify opportunities for process improvement through automation and responsible AI integration

What You'll Need to Succeed

Experience

• Demonstrated experience in document control and version management
• Experience maintaining document libraries (e.g. SharePoint, Microsoft 365) highly desirable
• Background or experience in the architecture field advantageous

Skills & Behaviours

• Exceptional attention to detail and a highly organised approach
• Excellent written communication and comprehension, including the ability to understand and control lengthy documents containing graphics, tables, and technical content
• Awareness of document control and version-control standards, client confidentiality, and data privacy obligations
• Exposure to aviation / AOC documentation advantageous

Education & Certifications

• Bachelor's degree in a relevant field preferred
• Document control or records management certification a plus
