Qualifications
Must-Haves
- 3+ years of experience in customer service, sales, or a related role
- Excellent written English and clear, confident spoken English
- Experience handling customer service or sales conversations by phone
- Ability to learn new software and work with an in-house platform
- Strong attention to detail and accuracy in administrative data entry
- Skills in class scheduling, staff scheduling, organization, and time management
- Initiative, sound problem-solving skills, and the ability to work independently
- Accountability, adaptability, and a collaborative approach to team support
- Reliable internet connection with a backup 4G connection
- Availability to work Sydney hours, including Saturday
- Ability to make this role your only full-time professional commitment
Nice-to-Haves
- Fluency in spoken Chinese
- Experience in education or tutoring
- Experience leading or supervising a team
- Familiarity with Deputy, Xero, Notion, or Slack
Responsibilities
- Respond to customer inquiries through messages, email, and phone calls.
- Discuss learning options and support sales through messages, email, and phone calls.
- Assist internal staff through messages and phone calls.
- Coordinate with students and tutors to create new classes.
- Manage class schedules and monitor classroom and tutor availability.
- Identify and address issues with classroom capacity or tutor coverage.
- Manage timesheets and arrange cover for staff shifts.
- Complete daily administrative tasks using the in-house platform.
- Prepare invoices and follow up on overdue payments.
- Attend weekly administrative meetings and complete tasks from the team board.
- Supervise other administrators as the role expands.
- Learn the team's systems and processes, then take on the full range of responsibilities over your first few months
