Job summary

CBRE GWS IFM PHILS. CORP. is seeking a Contract Support Associate to deliver exceptional customer service and admin support to a large business unit or account. You will handle contract scope, billing, vendor onboarding, and reporting while ensuring safety and compliance.

The role emphasizes financial controls, data analysis, and process improvements within a dynamic facilities management environment. A 1-2 year background in related work is preferred.

Qualifications

• Graduate of ANY course or GED with 1-2 years of job-related experience.
• Understanding of processes, procedures, systems, and concepts within own job function.
• Ability to evaluate and communicate unusual and/or complex content concisely.
• In-depth knowledge of Microsoft Office products (Word, Excel, Outlook).
• Strong organizational skills with an inquisitive mindset.
• Advanced math skills: percentages, discounts, markups.

Responsibilities

• Respond to client inquiries and concerns; ensure timely, quality service and follow-up for satisfaction.
• Understand the contract scope and ensure all work is carried out accordingly.
• Be a financial and operational systems champion; suggest cost-saving opportunities.
• Coordinate and onboard vendors for reactive and planned works; manage sub-contractor paperwork.
• Review invoices and ensure accurate cost center coding; coordinate billing and quotations.
• Review and approve maintenance invoices and projects per contracts; ensure core outputs are delivered.
• Respond to inquiries on financial reports for AR, AP, and open POs.
• Deliver monthly reporting support on Contract and BU Reviews.
• Assist in ensuring Health & Safety compliance, including HSE reporting; promote a safe environment.
• Maintain QHSE documentation and ensure availability in company systems.
• Gather and analyze data to solve complex problems; suggest new techniques.
• Impact own team and related teams; suggest process improvements to boost efficiency.
