Role Overview: We are seeking an organized, detail-oriented Construction Project & Estimating Coordinator to support day-to-day project operations, bid and estimate coordination, and administrative follow-through. In this role, you will serve as the operational link between project drawings, trade proposals, and office workflows. Your primary focus will be reviewing architectural plans, evaluating and comparing subcontractor bids, ensuring proposal line items align with project specifications, and driving proactive communication across all project stakeholders to eliminate bottlenecks.
Key Responsibilities
- Estimate Review & Bid Comparison: Review contractor and subcontractor estimates, proposals, and scope breakdowns; perform side-by-side pricing and scope comparisons across trade bids.
- Plan Review & Scope Verification: Cross-reference architectural drawings, schedules (e.g., window, door, finish, and fixture callouts), and project specs against received subcontractor estimates to verify accuracy and completeness.
- Trade & Subcontractor Coordination: Request quotes and proposals from trade partners and installers, clarify scope line items, and maintain organized documentation for all project bids.
- Proactive Follow-Ups & Communication: Track project milestones, open requests, and subcontractor deliverables. Actively follow up via email and project channels (sending timely reminders, tracking status updates, and managing thread communications) to keep jobs moving forward.
- Workflow & Inbox Management: Monitor project correspondence, log incoming drawings and revisions, and ensure all documents, estimates, and approvals are cataloged systematically.
- General Construction Office Administration: Maintain project trackers, update logs, prepare summary sheets, and provide reliable administrative support across ongoing jobs.
Qualifications & Requirements
- Experience: 2+ years of administrative or project coordination experience within the construction, architectural, or engineering sectors.
- Plan Literacy: Ability to read and navigate architectural and construction drawings, details, and schedules.
- Estimating & Cost Comparison Acumen: Familiarity with reviewing contractor estimates, bid sheets, and performing cost and scope comparisons.
- Proactive Follow-Through: Strong initiative and follow-up habits; able to manage pending deadlines independently without micromanagement.
- Communication Skills: Excellent written and verbal English communication skills with polished, professional email etiquette.
- Technical Skills: Proficiency with PDF markup and plan viewing tools (e.g., Bluebeam, Adobe Acrobat), spreadsheets (Excel, Google Sheets), and digital collaboration platforms.
