Position Summary
Newly created position responsible for construction job cost control across company-owned and third-party-managed capital projects. This role provides dedicated payroll and invoice oversight to catch cost overruns early, reconciling labor and material billing against approved budgets and contracts. It fills a current gap in job clock-in and payroll oversight, and becomes increasingly critical as the company expands its use of third-party general contractors alongside its in-house construction team.
Reports to the Director of Construction Management (DCM), with a dotted line to FP&A for monthly cost reporting.
Responsibilities and Duties
- Audit weekly job cost payroll and clock-in data by job code against approved labor budgets; flag overages to the DCM and Construction Manager (CM) within the same week they occur.
- Track labor and material cost trends across active jobs in the Company's CapEx Project Tracker and External Jobs Project Tracker; escalated cost creep before it compounds.
- Reconcile third-party general contractor invoices against contracted rates, scope of work, and payment schedules; verify no duplicate or above-contract billing.
- Maintain Booked and In-Progress Labor & Material Cost fields in Smartsheet (SSOT) and the Yardi Job Cost Module, keeping them current ahead of weekly DCM check-ins.
- Partner with the DCM on a standing weekly cadence to review cost exposure across all active jobs.
- Support Change Order and Contract Request review, confirming costs align with PAF-approved amounts before DocuSign routing.
- Prepare monthly job cost variance reports for FP&A and Asset Management.
- Supply accurate contract-vs-actual cost data to support Replacement Reserve draws and Schedule I Contract Amount submissions.
Qualifications and Requirements
- 2+ years of experience in construction cost accounting, accounts payable, or job costing (multifamily or commercial real estate preferred).
- Working knowledge of the Yardi Voyager Job Cost module or a comparable construction ERP.
- Strong Excel skills — VLOOKUP/INDEX-MATCH, pivot tables, and variance analysis on large data sets.
- Experience auditing labor hours or payroll data against budget is a strong plus.
- Comfortable identifying and escalating cost discrepancies directly to senior operational and lender-facing stakeholders.
- High attention to detail; able to work independently against recurring weekly and monthly deadlines.
