Job Description
The Human Resources Associate – Compensation & Benefits performs a variety of duties to support the day-to-day operations of the Human Resources – Compensation and Benefits Department. The role is responsible for assisting in the administration and processing of employee payroll, government-mandated and company-initiated benefits, attendance and timekeeping, and related compensation and benefits programs.
The position ensures the accurate and timely processing of payroll and employee benefits, maintains complete and accurate records, responds to employee concerns, and ensures compliance with company policies and applicable Philippine labor and government regulations.
Responsibilities
Payroll and Timekeeping Administration
- Conducts day-to-day payroll administration, including semi-monthly payroll processing and consolidation of attendance and timekeeping records.
- Collects, reviews, and summarizes Daily Time Records (DTRs), Leave Forms, Official Business Permits, Overtime/Undertime Forms, and other payroll-related documents.
- Monitors employees’ attendance, leave credits, overtime, undertime, tardiness, and other payroll-related adjustments.
- Processes approved leave, overtime, undertime, and other payroll adjustments based on scheduled cut-offs.
- Conducts random checking of Web DTRs to ensure accuracy and completeness of attendance records.
- Monitors and computes OJT attendance and allowances.
- Prepares the computation of terminal/last pay for resigned or separated employees.
- Prepares monthly tardiness and perfect attendance reports.
- Checks and monitors payroll-related concerns and discrepancies and coordinates with concerned departments for resolution.
- Creates Purchase Requests related to OJT allowance, agency billing, newly hired employees’ per diem, transportation reimbursement, and other C&B-related requirements.
- Reviews and validates manpower agency billings prior to processing.
- Serves as an initial point of contact for employee inquiries and concerns related to payroll, attendance, and compensation.
Benefits Administration and Government Compliance
- Processes employee benefits covering both company-initiated and government-mandated benefits.
- Handles documentary requirements, reports, and payment processing related to employee benefits.
- Processes and monitors government-mandated benefits such as SSS, PhilHealth, and Pag-IBIG (HDMF).
- Prepares and processes SSS sickness and maternity notifications and claim reimbursement requirements, including submission of required medical documents through applicable online systems.
- Monitors SSS sickness and maternity claim reimbursement status, including initial, rejected, and declined claims, and coordinates necessary actions for completion.
- Prepares Certificates of PhilHealth Contributions and other supporting documents required for hospitalization, maternity, accidents, and other applicable claims.
- Encodes and validates monthly SSS, PhilHealth, and Pag-IBIG remittances for applicable company entities.
- Ensures timely submission of required government reports and documentation.
- Ensures compliance with DOLE rules and regulations, as well as SSS, PhilHealth, Pag-IBIG, BIR, and other applicable statutory requirements.
- Checks and monitors employee benefits concerns and assists employees in understanding and availing of their benefits.
Employee Support and Compensation & Benefits Services
- Provides timely and professional assistance to employees regarding payroll, benefits, attendance, timekeeping, and other compensation and benefits concerns.
- Responds to employee inquiries and resolves concerns within established policies and procedures.
- Coordinates with internal departments, government agencies, and external service providers when necessary to resolve employee concerns.
- Provides accurate information and guidance regarding compensation and benefits policies, processes, and requirements.
- Recommends process improvements to prevent recurring payroll and benefits issues.
Data Analysis, Reporting, and Audit Support
- Prepares and maintains accurate payroll, attendance, benefits, and compensation-related records and reports.
- Generates reports and dashboards on payroll, compensation, benefits, attendance, and other C&B-related trends.
- Analyzes C&B data and provides relevant information and recommendations to the HR Manager for decision-making.
- Prepares supporting documents and records required for internal and external audits.
- Ensures the accuracy, completeness, and confidentiality of employee compensation and benefits records.
Policy Implementation and Compliance
- Implements compensation and benefits policies, procedures, and guidelines consistently and accurately.
- Ensures that payroll and benefits processes are aligned with company policies and applicable laws and regulations.
- Assists in reviewing and updating C&B processes and procedures to improve efficiency, accuracy, and compliance.
- Acts as a resource person for employees on compensation, payroll, benefits, attendance, and related HR policies.

Qualifications and Requirements
- Graduate of any Bachelor’s Degree, preferably in Psychology, HumanResources Management or any other related course.
- At least one to two (1-2) years of work experience as a BenefitsAssociate, or similar role in retail or food and beverage industry.
- Preferably from an organization with 3,000 employees and above.
- Proficiency in Microsoft Office Suite and familiarity with HRIS (HumanResources Information System) software and payroll systems.
- Strong understanding of compensation philosophy and pay structuring.
