JOB RESPONSIBILITIES
Compensation Management
- Design and maintain salary structures and incentive schemes.
- Conduct market benchmarking and salary surveys to ensure competitive compensation.
- Assist in annual salary reviews, promotions, and merit increases.
- Analyze compensation data to support HR and business decisions.
- Responsible in preparing payroll data and ensuring the accuracy of salary computations for Headquarters.
- Review salaries, allowances, overtime and Final Pay payouts in line with signed agreement and company policies.
- Ensure accurate and timely payroll computation in accordance with company policies and labor regulations.
- Review, validate, and process all government-mandated contributions and deductions (SSS, PhilHealth, Pag-IBIG, and BIR withholding tax) to ensure correct computation prior to remittance.
- Prepare and reconcile government contribution reports and ensure timely submission and remittance to the appropriate agencies.
- Verify payroll data, deductions, adjustments, and statutory contributions to maintain payroll accuracy and compliance.
- Perform year-end payroll activities, including tax annualization, ensuring accurate computation and compliance with BIR regulations.
Benefit Administration
- Administer employee benefits programs (healthcare/HMO, life insurance, leave credits).
- Coordinate with providers to manage benefit plans and resolve issues.
- Monitor benefit utilization and recommend improvements.
- Ensure timely communication of benefit updates to employees.
- Liaise with government agencies to address issues and maintain compliance.
Compliance and Monitoring
- Ensure compliance with labor laws, tax regulations, and internal policies.
- Prepare reports for management, audits, and government filings (e.g., SSS, PhilHealth, Pag-IBIG, BIR).
- Prepare BIR Form 1604-C (Annual Information Return of Income Taxes Withheld on Compensation).
- Prepare payment requests for government-mandated monthly returns, employee welfare benefit programs and Final Pay.
- Support internal and external audits related to compensation and benefits.
Employee Support and Engagement
- Address employee inquiries regarding pay, benefits, and deductions.
- Conduct orientation sessions to newly promoted Supervisors and Managers (under Retail Operations) regarding HRMS Timekeeping Management, compensation and benefits policies.
- Collaborate with HR teams to support employee engagement and retention strategies.
HRIS System Administrator – In Charge
Role Overview
The HRIS System Administrator oversees the configuration, maintenance, and security of the HRIS platform. They ensure accurate employee data management, smooth system operations, and provide technical support to HR staff, Managers and employees.
System Management
- Configure and maintain HRIS modules (timekeeping, payroll, compensation and benefits).
- Review and approve employee movements (e.g., regularizations/confirmations, promotions, salary adjustments, separations) in the HRIS to ensure accuracy, compliance, and timely updates to payroll and benefits systems.
- Ensure timely updates of employee records.
Data Integrity and Security
- Safeguard sensitive employee information by applying access controls.
- Manage user accounts, roles and permissions.
- Conduct regular audits to ensure data accuracy and compliance with company policies.
Process Improvement
- Identify opportunities to streamline HR processes through automation.
- Implement system upgrades and new features in collaboration with HRIS provider and HR Teams.
- Train HR staff, Managers and employees on system usage.
- Collaborate with the HRIS service provider to promptly address and resolve system-related issues.
Reporting and Analytics
- Generate HR reports such as headcount, compensation, employee profile, attendance by location, leave balances).
- Provide insights to the HR Manager for workforce planning and decision-making.

HR Communications
- Draft, review, and distribute official HR communications such as policy announcements, memos related to compensation and benefits, and employee advisories.
- Ensure consistency, clarity, and alignment of messaging with the company’s tone, culture, and HR standards.
- Collaborate with internal stakeholders to ensure timely dissemination of information across departments and locations.
- Maintain templates and communication records to support documentation and compliance requirements.
Collaboration & Reporting
- Draft, review and implement policies and guidelines related to compensation and benefits to align with organizational goals.
- Prepare regular dashboards and insights related to compensation and benefit programs, reports and recommendations.
JOB COMPETENCIES/REQUIREMENTS
Qualifications
- Bachelor’s degree in Human Resources, Psychology, Business Administration, or related field.
- Must have at least 8 years of experience in Compensation and Benefits, with a minimum of 3 years in a supervisory role.
- Solid knowledge of Philippine labor laws, government-mandated benefits, and HR best practices.
- Strong interpersonal, communication, and problem-solving skills.
- Proficient in MS Office and HRIS platforms (Timekeeping and Payroll System).
- Analytical mindset and attention to detail.
- Discreet, professional, and capable of handling sensitive information.
- Must be knowledgeable in the end-to-end payroll process.
- Must have a strong understanding of the tax annualization process.
