Job Type: Full-time, For Regularization
Benefits: Government benefits (SSS, PhilHealth, Pag-IBIG) after 3 months probationary period
Schedule: Monday- Saturday 9am-6pm (Dayshift - On-site - Saturday depending on company needs)
Salary: ₱25,000–₱30,000 per month (depending on experience and qualifications)
Location: Igualada Women’s Health and Fertility Center, 16 Quezon Avenue, Lucena City, Quezon Province
Reporting to: Clinic Owner / Medical Director
The Clinic Operations Manager is a customer/client-facing leadership role responsible for overseeing the clinic's daily operations while ensuring an exceptional patient experience at every stage of the patient journey. This role serves as the face of the clinic, fostering strong patient relationships, resolving concerns with professionalism and empathy, and ensuring seamless coordination across all departments to deliver outstanding service. The Clinic Operations Manager also ensures operational excellence, regulatory compliance, and the consistent delivery of high-quality care in a women's health and fertility center. This position reports directly to the Clinic Owner / Medical Director and plays a critical role in upholding the clinic's reputation for service excellence and patient satisfaction.
Responsibilities:
Clinic Operations & Administration: Oversee the day-to-day clinic operations, ensuring smooth patient flow, efficient scheduling, organized administrative processes, and seamless coordination across departments. Develop and continuously improve SOPs, policies, employee handbooks, and operational procedures to enhance efficiency, service quality, and overall clinic performance.
Customer Service & Patient Relations: Serve as the face of the clinic by delivering exceptional customer service and ensuring a positive, confidential, and seamless patient experience from initial inquiry through post-treatment. Respond promptly and professionally to patient inquiries across multiple communication channels while providing accurate information and compassionate support.
Patient Experience & Complaint Resolution: Handle patient concerns and escalations with empathy, professionalism, and sound judgment to ensure timely and effective resolutions. Develop communication scripts, response templates, and customer service standards to promote consistent, high‑quality patient interactions.
Inventory & Supplier Management: Monitor medical and office supply inventory, coordinate procurement, maintain supplier relationships, and ensure adequate stock levels while managing costs effectively.
Facility & Quality Management: Ensure the clinic remains clean, organized, and compliant with operational standards. Coordinate maintenance of medical equipment and clinic facilities.
HR Administration: Manage employee records, attendance, leave administration, payroll support, and HR documentation for both clinical and non-clinical staff while ensuring accurate, organized, and efficient HR operations.
Training & Employee Development: Design and lead employee training, learning and development programs, skills enhancement initiatives, performance management, coaching, and employee engagement activities to improve service standards and foster a collaborative, high‑performing, and patient‑focused workplace culture.
HR Compliance & Administration: Ensure compliance with Philippine labor laws, DOLE regulations, and government‑mandated requirements (SSS, PhilHealth, and Pag‑IBIG). Maintain accurate HR records, company policies, payroll‑related documentation, and administrative processes to support efficient, organized, and compliant HR operations.
Qualifications & Skills
Bachelor's Degree in Business Administration, Human Resource Management, Healthcare Administration, Nursing, or a related field.
Minimum of 3–5 years of experience in operations management, clinic administration, human resources, hospitality, or customer service leadership.
Experience in a healthcare, medical clinic, hospital, or fertility center is highly preferred.
Strong leadership, organizational, and people management skills.
Excellent verbal and written communication skills in both English and Filipino.
Proficient in Microsoft Office (particularly Excel) and clinic management or HR systems.
Strong understanding of Philippine labor laws, HR processes, and government compliance requirements.
Highly organized with excellent problem‑solving and decision‑making abilities.
High level of integrity, discretion, and ability to handle confidential information.
Demonstrates empathy, professionalism, and a genuine commitment to delivering exceptional patient care and team leadership.
