Job summary

Emapta Philippines in Ortigas is seeking a Circulation Operations Administrator to help build the operational foundation connecting publications, retailers, distributors, and audiences nationwide. Join a pioneer team with global exposure, delivering accurate operations to protect reach, revenue, and reputation.

Qualifications

• 3+ years of experience in Operations Administration or similar back-office roles.
• Hands-on experience in supplier onboarding, account maintenance, order processing, or contract administration.
• Strong data accuracy and process compliance.
• Proficient in Microsoft Excel; familiarity with ERP/CRM or similar systems.
• Excellent communication and stakeholder management.

Responsibilities

• Circulation and returns management, including batch loading and reporting.
• Set up and maintain delivery routes in the fulfillment system.
• Identify and resolve customer billing issues and process transactions.
• Create and distribute trade communications using Salesforce Marketing Cloud.

The Qualifications We Seek

• 3+ years of experience in Operations Administration, Logistics, Supply Chain, Procurement, Vendor/Supplier Management, Contract Administration, Inventory Management, or similar back-office operations
• Hands-on experience in supplier onboarding, account maintenance, order processing, invoice validation, procurement support, documentation, inventory monitoring, or contract administration
• Strong attention to detail with a focus on data accuracy, quality, and process compliance
• Proficient in Microsoft Excel and comfortable using ERP, CRM, procurement, inventory, logistics, or similar operational systems
• Strong communication and stakeholder management skills, with the ability to coordinate follow-ups and resolve operational issues
• Excellent organization, time management, analytical, and problem-solving skills, with the ability to manage multiple priorities
• Experience with reporting or analytics tools such as Power BI is an advantage

Your Daily Tasks

Circulation & Returns Management

• Check, correct, and load returns batches, including the preparation of associated reports.
• Assist with daily publishing processes as required.

Route & Account Administration

• Set up and maintain delivery routes within the NewsCycle fulfillment system.
• Coordinate with Logistics teams to manage route sequencing.
• Create and maintain retailer and distributor accounts.

Billing & Operational Support

• Identify and resolve customer billing issues.
• Process miscellaneous business-approved transactions.
• Update routing information to manage unroutable subscriptions.

Communications & System Administration

• Create and distribute trade communications using Salesforce Marketing Cloud.
• Maintain and update email distribution lists.
• Process Salesforce tasks assigned to the National Circulation Operations team.
