Job Role: Bid-Coordinator and Marketer

Compensation range: $2,500 AUD Monthly

Work Schedule: This role is expected to align with the AU business hours (approx. 9:00AM - 6:00 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are:

At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is:

The client is a design-led architecture studio specialising in innovative learning environments and community spaces across Australia. They are known for their research-based, human-centred approach to architecture, focusing on how design influences learning, wellbeing, and community engagement.

Role Overview:

Our client is looking for a highly organised, detail-oriented, and articulate Bid Coordinator and Marketing Specialist to support business development and marketing activities across the business.

The primary focus of this role is preparing high-quality written business development documents, including tender submissions, Expressions of Interest (EOIs), capability statements, and supporting proposal materials. You will also develop and maintain document templates and content libraries to streamline the preparation of future submissions and ensure consistency across all materials.

Alongside this core responsibility, you will manage the company's social media presence and assist with general marketing initiatives, brand collateral, and other communications activities.

This role is ideal for someone who excels at professional writing, document coordination, and presenting complex information clearly and persuasively. Experience in architecture, construction, engineering, or other professional services environments would be an advantage.

Key Responsibilities:

1. Bid Coordination and Written Business Development Documents — 60%

This is the primary focus of the role.

  • Prepare, coordinate, and format tender submissions, ensuring all requirements are addressed accurately and submitted within deadlines.

  • Develop and maintain capability statements that clearly communicate the studio's expertise, services, project experience, and competitive strengths.

  • Prepare Expressions of Interest (EOIs), fee proposals, project proposals, and other business development documents.

  • Gather and organise project information, staff credentials, team CVs, project profiles, and supporting materials for submissions.

  • Collaborate with leadership and relevant team members to collect information and develop compelling, tailored responses to client requirements.

  • Edit and proofread documents to ensure accuracy, clarity, consistency, and a professional tone.

  • Develop, maintain, and improve templates for tenders, EOIs, capability statements, and proposals to make future submissions more efficient.

  • Maintain an organised library of reusable content, project information, staff profiles, credentials, and supporting documentation.

  • Track submission deadlines, coordinate inputs from stakeholders, and manage multiple documents and priorities simultaneously.

  • Ensure all business development materials align with the studio's brand, communication style, and quality standards.

2. Social Media and Marketing — 20%

  • Plan, prepare, schedule, and publish social media content across LinkedIn, Instagram, Facebook, X, and Bluesky.

  • Use Hootsuite or similar tools to manage content scheduling and maintain a consistent posting calendar.

  • Develop content highlighting the studio's projects, design approach, expertise, achievements, and industry involvement.

  • Monitor social media engagement and prepare periodic performance reports.

  • Support website updates, including new projects, staff profiles, news, and awards.

  • Assist with website content improvements, SEO, and AI search optimisation.

  • Support email newsletters, project case studies, media releases, and other marketing communications as required.

  • Maintain consistency in messaging and visual presentation across digital channels.

3. General Marketing and Miscellaneous Activities — 20%

  • Coordinate miscellaneous marketing initiatives, such as Christmas cards, email signatures, company announcements, and other branded communications.

  • Prepare and update marketing collateral, presentations, brochures, and project information sheets.

  • Assist with industry award submissions, media opportunities, conferences, and industry events.

  • Help maintain brand consistency across documents, communications, and other marketing materials.

  • Organise image libraries, project photography, and other marketing assets.

  • Provide general administrative and coordination support to the leadership team as required.

  • Identify opportunities to improve internal processes, document management, and the efficiency of marketing activities.

Requirements:

  • At least 5 years of relevant experience in bid coordination, tender preparation, proposal writing, business development support, marketing communications, or a related role.

  • Demonstrated experience preparing professional business documents, particularly tenders, EOIs, capability statements, or proposals.

  • Excellent written English, including the ability to communicate complex information clearly, persuasively, and accurately.

  • Strong editing, proofreading, formatting, and document quality-control skills.

  • Experience developing and maintaining document templates, content libraries, or standardised business development materials.

  • Exceptional attention to detail and the ability to follow submission requirements and meet strict deadlines.

  • Strong organisational and project coordination skills, including the ability to manage multiple submissions and competing priorities.

  • Proficiency in Microsoft Word, Excel, and PowerPoint, particularly for preparing and formatting professional documents.

  • Ability to gather information from multiple stakeholders and turn it into polished, cohesive business documents.

  • A proactive, resourceful, and collaborative approach to work.

Bonus Skills

  • Experience working in architecture, construction, engineering, design, or other professional services environments.

  • Familiarity with Australian tendering processes and business development requirements.

  • Experience with Adobe InDesign and Photoshop for document layout and presentation.

  • Experience managing social media platforms and content scheduling tools such as Hootsuite.

  • Knowledge of website content management systems, SEO, AI search optimisation, and marketing analytics.

  • High-quality, accurate, and compelling tender submissions, EOIs, capability statements, and proposals delivered on time.

  • Well-maintained document templates and content libraries that reduce repetitive work and improve submission efficiency.

  • Clear, consistent, and professional communication across business development and marketing materials.

  • Reliable management of social media and other marketing activities without losing focus on the core document preparation responsibilities.
