Job summary

The Role: Authorizations Coordinator

Imagine being the reason a patient's therapy visits get scheduled on time. Every authorization you submit, every denial you follow up on, and every approval you record keeps care moving for patients receiving home health and therapy services.

You're not just submitting forms. You're reading charts, understanding the full picture of a patient's care across nursing, PT, OT, speech therapy, medical social work, and home health aide services, and building requests that clearly justify medical necessity. From working payer portals to coordinating with clinicians on appeals, your work directly affects whether patients can be seen and how smoothly our teams can operate.

You thrive on structure in a busy, high-volume environment, are comfortable picking up the phone to chase an answer, and don't wait to be told what's next. Whether you're working through a full day of 30 to 40 patients, catching an expiring insurance before it becomes a discharge, or handling an urgent request at the end of the day, you bring accuracy, initiative, and follow-through to everything you touch.

What Your Days Might Look Like:

  • Request and track prior authorizations for initial and continuity-of-care visits across nursing, therapy (PT, OT, speech), medical social work, and home health aide services.

  • Submit complete authorization packages to insurance carriers through payer portals and fax systems.

  • Process authorization requests for new referrals coming through intake, in addition to ongoing requests for existing patients.

  • Review patient charts thoroughly to understand every service being provided, not just one discipline, so each request accurately justifies medical necessity.

  • Verify diagnosis and procedure codes and benefit information to make sure requests align with payer guidelines.

  • Monitor pending requests daily and follow up on delays or missing approvals, including re-checking recent submissions to confirm they were approved.

  • Manage a high daily volume of patients while also handling phone calls and following up on previous requests.

  • Track patients whose insurance is expiring or has expired, contact them about potential changes in care, and coordinate next steps.

  • Partner with clinical staff to gather additional documentation and submit initial appeals when a request is denied.

  • Record approval codes, approved visit counts, effective dates, and all communications accurately in the EHR.

  • Complete required contract reporting within strict deadlines.

  • Collaborate with in-office team members by preparing authorization documentation for upload.

  • Handle urgent requests that arrive toward the end of the day.

  • Work closely with the scheduling team so approved authorizations are communicated promptly and patients can be scheduled without delay.

  • Ask clarifying questions proactively and flag issues early, with a suggested solution whenever you can.

Who We Think Will Thrive in This Role:

  • You have a basic understanding of medical terminology and standard billing codes.

  • You have healthcare experience with exposure to medical insurance, prior authorizations, and benefit verification.

  • You have strong time management skills and can handle a high-volume workload, juggle multiple deadlines, and work independently without constant supervision.

  • You have excellent attention to detail and can review patient charts, medical necessity notes, and diagnosis/procedure codes to ensure compliance with payer guidelines.

  • You are willing to work in a US time zone schedule.

  • You can secure the required technical setup, including:

    • At least a 720p HD webcam

    • A noise-canceling headset

    • A primary internet connection of at least 25 Mbps

    • A backup laptop, backup internet device, and backup power source

    • A main computer with at least Intel Core i5 (or equivalent) and 8 GB RAM

    • A backup computer with at least Intel Core i3 and 4 GB RAM
