Job description

As our Australian Draftsperson & Pre-Site Coordinator, you will be the backbone of both our drafting output and our pre-construction process, producing working drawings and town planning drawings for residential homes while simultaneously ensuring every job is fully coordinated, compliant, and ready to break ground. You will work closely with the Construction Manager, Sales Team, Estimators, architects, and external consultants to manage the flow of design documentation and approvals from contract signing through to site start, all delivered remotely from the Philippines.

This is a pivotal role that keeps our design and build pipeline moving efficiently. If you thrive on organisation, precision, and making sure nothing falls through the cracks, this opportunity is for you.

Key Responsibilities
Drafting & Design Documentation
  • Prepare and produce working drawings for residential homes including floor plans, elevations, sections, site plans, and construction detail drawings to Australian standards using AutoCAD.
  • Produce town planning drawings and planning permit application packages in accordance with Victorian council and planning scheme requirements.
  • Draft and coordinate drawing sets in collaboration with engineers, building surveyors, and consultants; incorporate mark‑ups and revisions as required.
  • Ensure drawings comply with estate developer Design Guidelines and MCP (Management Conditions of Plan) requirements.
  • Prepare and update drawings to reflect variations, permit conditions, or design changes throughout the project lifecycle.
  • Coordinate drawing sets to meet HIA or Master Builders contract requirements.
Pre-site Coordination
  • Coordinate and manage all pre‑construction documentation including building permits, planning permits, engineering reports, energy ratings (NatHERS), soil tests, and feature surveys.
  • Liaise with Victorian councils, building surveyors, engineers, land developers, and other external consultants to progress approvals and resolve queries.
  • Prepare and submit building permit and planning permit applications; ensure all supporting documents are complete and compliant.
  • Track and manage title settlements, developer MCP checklists, design guideline approvals, and land registration timelines.
  • Maintain and update the job tracker / CRM system with accurate presite milestones, dates, and status notes for every active job.
  • Coordinate with the Sales Team to ensure signed contracts, finance approvals, deposit receipts, and conveyancer details are collected and filed.
  • Monitor and follow up on outstanding items to ensure build start dates are met, proactively flag delays or risks to management.
  • Prepare handover packs for the Construction Team once all presite requirements are satisfied.
  • Assist with maintaining supplier/subcontractor documentation (insurances, licences, SWMS).
  • Support the Estimating Team with tender documentation and plan distribution as needed.
  • General administrative support to the Construction and Operations teams.
Requirements
  • Minimum 2-3 years' experience in residential architectural drafting for Australian construction or building design firms, producing working drawings and town planning drawings.
  • Proficient in AutoCAD, this is essential for the role.
  • Strong understanding of the Victorian residential building permit and planning permit process, council requirements, and developer design guidelines.
  • Experience working remotely with Australian architectural or residential construction firms.
  • Solid knowledge of Australian residential construction standards and the NCC (National Construction Code).
  • Highly organised with exceptional attention to detail, you don't let things slip.
  • Excellent written and verbal communication skills in English for liaising with councils, consultants, developers, and internal teams.
  • Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable with CRM/project management systems.
  • Ability to manage multiple jobs and drawing sets simultaneously and prioritise competing deadlines.
  • Self-motivated and proactive, you identify what needs to happen next without being asked.
  • Experience with building permit portals (e.g., BAMS) and Victorian council online lodgement systems is highly regarded.
  • Knowledge of the HIA or Master Builders contract process and NatHERS energy rating coordination is a plus.
Work Environment & Expectations

While this is a work-from-home position, it is important to note that this is a full‑time role—not a freelance or flexible‑hour arrangement. You will be expected to work a fixed shift and maintain a high level of professionalism and accountability, just as you would in an office environment.

  • Use of time tracking software during work hours
  • Active participation in team and client calls with your camera ON
  • Consistent availability and responsiveness throughout your shift
  • Treating this as a long‑term, full‑time job—not a side gig or freelance task
