Position Summary / Job Purpose
The Associate Manager - Fleet Services is responsible for the management and coordination of their assigned staff in fulfilling the goals and objectives of the Fleet Services Team.
They oversee Specialists (Transactional Agents) and Sr. Specialists (Fleet Service Agents) in a fast-paced environment for the replenishment of goods and services on an on-going and/ emergency basis. They ensure accuracy of order submissions; provides the Agents with guidance in resolution/recovery of goods.
The Associate Manager - Fleet Services must provide guidance for last-minute orders which may have a financial impact on revenue. Due to the sensitivity and criticality of certain orders, a timely resolution will have a profound influence on the guest's satisfaction and operational requirements of the company vessels.
Essential Duties and Responsibilities
- Oversees the timely delivery of goods and services to the vessels by running reports to ensure that Agent and supplier performance meets the departmental requirements and take actions with Buyers or Commodity Managers to address outliers.
- Ensures thatMaster Loading Schedule and Storing and Ordering Schedules are updated and properly used by the Agents, allowing vessels the appropriate time to store provisions and place orders for replenishment.
- Ensures consistency between purchase orders,and Master Loading Schedule.
- Coordinates supplier meetings, assists with product evaluations and reviews supplier performance.
- Ensures that required audits are completed, and that the feedback on performance is communicated to suppliers/Commodity Managers.
- Guides the Agents in recovery efforts for delayed, lost, or stolen containers to ensure the vessels receive necessary products.
- Responsible for content and implementation of Fleet Services Standard Operating Procedures for entire fleet.
- Manages and monitors procurement reporting systems to meet company requirements.
- Prepares and issues purchase orders and change notices.
- Performs frequent spot checks, and reviews on assigned Agents to ensure accuracy of work and timely response to internal and external customers.
- Organizes, manages and directs the work of the employees in the assigned procurement function overseeing the assignment of duties, responsibilities and workstations and provides final approval for overtime.
- Use skill and judgment to determine poor performing Agents. Provide objective feedback and Agent development plans. Provides disciplinary actions, and correction criteria when necessary.
- Ensure Agent generated invoices in dispute are resolved in a timely manner.
- Provide support and guidance to Team to ensure SOPs are maintained.
- Works closely with Hotel Food and Beverage Procurement Team to meet operational needs, and quarterly financial objectives.

Education, Experience, Knowledge & Skills
- Purchasing experience or bachelor's degree preferred.
- 3-5 years' experience and or training or equivalent combination of education and knowledge
- Ability to effectively present information and communicate with all levels of Management
- Excellent interpersonal skills Ability to manage time effectively and efficiently
- Basic to complex spreadsheet comparisons of consumption pricing and transportation costs
- Ability to solve problems and deal with complex variables where limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
- Ability to calculate figures and amounts such as discounts, interest, commission, proportion and percentages Ability to travel domestically and internationally at short notice.
- Moderate level knowledge of uniform commercial code and company standard terms and conditions.

- The employee is occasionally required to walk to the dock, ascend and descend the vessel. This position may regularly travel domestically or internationally.
- Visual requirement include distant, close and color vision, and ability to adjust focus
Work Environment

- The environment includes work inside/outside the office, travel to other offices, possibly travel domestic and international, and work in shipboard functions.
- A high noise level is possible if visiting shipboard or offsite locations.
