Role description

The Project Assistant performs timely and accurate activities related to Arcadis Way of Project Management to support the project manager across the lifecycle of a project. Responsibilities may include administrative tasks around updating schedules and resource plans, maintaining project documentation, delivering supporting information to understand project progress and support project reviews (health checks), and preparing progress reporting information. In addition, the project assistant may be called upon to schedule meetings and coordinate communication among team members and help monitor project progress.

Role accountabilities
  • Supports projects up to the value of ~5m, with medium project complexity with little to no supervision.
  • Reports to a project manager and may support multiple projects concurrently.
  • Supervises more junior project assistants.
  • Provides guidance to other junior team members and may supervise and train others.
  • Acquires industry skills to gain greater understanding of the business.
  • Has knowledge and understanding of Oracle ERP and the Arcadis Way Project Management.
  • Self‑directed on all Project Assistant activities, producing outputs under no supervision and being accountable for self‑checking work.
  • Collects information and coordinates activities required to achieve project compliance and processes.
  • Delivers recurring work with no supervision or quality checks.
  • Proactively monitors and evaluates existing processes to identify opportunities and provides advice for improvement.
  • Takes full ownership of distinct elements of project management assignments, ensuring standards of delivery meet defined objectives.
  • Clarifies scope, commits to deadlines, and delivers quality outputs at agreed times.
  • Demonstrates proficiency and understanding of project management tools and procedures to make processes efficient.
  • Takes a proactive role in evaluating processes, sharing knowledge, and providing advice to improve processes and systems.
  • Provides a substantial role on less complex projects or elements of larger, less complex projects and takes ownership of distinct elements of tasks/assignments.
  • Works independently with in‑depth technical knowledge and practical experience, seeking support from senior team members on new or unusual areas of work.
  • Acts as a champion or sub‑task lead to deliver small tasks using new tools and trains others in their use.
  • Facilitates effective project management by managing and analysing data, identifying potential performance risks, and implementing mitigation strategies.
  • Applies analytical skills and technical methods to complete complex, professional‑level tasks on time with value added.
  • Understands time and material (T&M) and lump‑sum (fixed‑price) revenue recognition contracts and how they relate to AWPM.
  • Liaises with stakeholders from across the business to resolve queries and ensures efficient, high‑quality information and output to all internal clients.
  • Prepares financial reports such as project cost analysis reports and labour forecasting reports.
  • Monitors processes, shares knowledge, and provides feedback on existing procedures to identify opportunities for improvement.
  • Reviews and requests new project setups (ACTs) including contract details and consults with the Project Manager and Project Finance when contract documentation is missing.
  • Reviews and updates the Oracle workplan as needed and notifies Project Finance of any additional tasks and fees.
  • Reviews cash‑flow management to ensure debts are paid and invoices are requested.
  • Raises requisitions, attaches supporting documents to PO creation, ensures agreements are in place, and manages PO spend on projects.
  • Follows monthly deadlines from Project Finance, drives invoicing needs, and communicates invoicing delays to the Project Manager.
  • Monitors the Global Invoicing Dashboard and checks payment statuses continuously.
  • Assists with project compliance by tagging mandatory documents in the Collaboration Hub and requests missing items from the Project Manager if necessary.
  • Monitors working capital for projects in weekly/monthly Project Manager meetings.
  • Reviews WIP, liaises with Project Finance, and provides insight to project controller to support working capital reviews.
  • Highlights risks to WIP or expected billing delays and escalates them to Project Finance.
  • Reviews project financial performance with the Project Manager and, with Project Finance, supports performance improvement.
  • Attends project reviews, notes actions, reviews forecast changes, and escalates to the Project Manager and Project Finance when material financial impact is expected.
  • Is accountable for deliverables and notifies the Project Manager and Line Manager if expectations cannot be met.
  • Supports tracking of project schedules, resource planning, project plans, risk management, and lessons‑learnt records.
  • Tracks accurate time booking, resolves issues, and collaborates with the project manager for adjustments.
Qualifications & Experience
  • At least 5 years’ experience in project accounting and project co‑ordination.
  • Bachelor’s degree in accountancy, finance, business administration or equivalent.
  • Finance project accounting experience or project management and coordination (preferred).
  • PMP/ APM / PRINCE2 certifications are an added advantage.
  • Experience operating in a global offshoring model.
  • Understanding of time and material (T&M) and lump‑sum (fixed‑price) revenue recognition and metrics.
  • Relevant work experience in project management (preferred) and finance activities.
  • Excellent written and verbal English is mandatory.
  • Ability to liaise with peers and key stakeholders across supported countries.
  • Experience in Oracle (ERP or EBS), SAP or Microsoft Dynamics.
  • Proficiency in Microsoft applications (Excel, Outlook, Word).
  • Result‑oriented with attention to detail.
  • Effective verbal and written communication skills.
  • Strong analytical and problem‑solving skills.
  • Proactive and committed team player.
  • Can work flexible hours to meet changing work environment and tight deadlines, especially around month‑end close.
