AI Systems & Automation Specialist
Overview
The AI Systems & Automation Specialist is responsible for designing, building, and continuously improving AI-powered systems that increase efficiency, reduce manual work, connect business applications, and support scalable operations across the organization.
This role combines AI agents, automation, APIs, integrations, business process improvement, and systems architecture to build an AI workforce that works alongside human teams. The position is expected to not only build requested solutions, but also proactively identify where AI and automation can improve how the business operates.
Key Responsibilities
AI Agents & Intelligent Systems
- Design and build AI agents or “AI employees” capable of performing defined business functions.
- Integrate AI models such as OpenAI and Claude into business workflows and internal systems.
- Build systems that can analyze information, apply defined rules, take approved actions, and elevate exceptions to human team members.
- Develop internal AI assistants that can access and understand company SOPs, training, processes, and knowledge.
Automation & Integrations
- Build advanced automations using tools such as n8n, Make, Zapier, APIs, and webhooks.
- Connect business applications to create seamless and reliable information flow across departments.
- Integrate AI and automation with core systems, particularly GoHighLevel and CRM workflows.
- Eliminate duplicate data entry, unnecessary handoffs, and repetitive manual processes.
Business Process & Automation Audits
- Learn and assess departmental workflows, systems, tools, and operational processes.
- Identify repetitive work, process bottlenecks, disconnected systems, and automation opportunities.
- Recommend where AI agents can replace, support, or enhance existing processes.
- Challenge inefficient processes and propose better ways to achieve business outcomes through AI and automation.
Systems Architecture & Knowledge Management
- Design scalable systems, databases, and knowledge repositories that AI agents and automated workflows can access.
- Ensure integrations and automations are structured for reliability, scalability, security, and long-term maintainability.
- Maintain clear system documentation, workflows, architecture, and operating instructions.
Reporting & Performance Automation
- Build automated reporting, dashboards, and KPI tracking systems.
- Create workflows that improve visibility, accountability, and access to business information.
- Measure the effectiveness of completed automation projects and determine whether they achieved the intended operational improvements.
Monitoring, Maintenance & Optimization
- Proactively monitor automation performance and identify failures before they create larger business issues.
- Troubleshoot integration, workflow, API, and automation failures.
- Maintain and continuously improve existing AI agents and automated systems.
- Implement controls, alerts, and escalation processes to improve system reliability.
AI & Technology Innovation
- Research and recommend AI tools, platforms, and technologies that may improve business performance.
- Evaluate new technologies based on practical business value rather than novelty.
- Stay current with developments in AI agents, automation platforms, APIs, and integration technologies.
Strategic & Proactive Ownership
A core expectation of this role is to proactively identify opportunities for improvement rather than wait for automation requests.
The AI Systems & Automation Engineer will be expected to:
- Audit current workflows and technology.
- Identify opportunities to automate or simplify manual processes.
- Estimate potential time, cost, and efficiency savings.
- Prioritize automation projects based on business impact and feasibility.
- Present clear recommendations to Leadership.
- Build approved solutions from planning through implementation.
- Measure results and continuously optimize systems after deployment.
The role should consistently ask not only “What should we build?” but also “Why are we doing it this way, and can AI help us do it better?”
