The role covers coordinating with branches, preparing simple reports, organizing documents, and assisting the Big Bikes Manager with meetings, travel docs, and office logistics. This on-site position requires meticulous clerical work.

Responsibilities

• Encode and update repo reports daily, weekly, and monthly based on branch submissions.
• Monitor completeness of branch submissions, including inventories, docs, pricing, and displays.
• Perform initial checks on submitted repo inventory files for completeness.
• Maintain and update the master list of repo units from branch submissions.
• Organize, file, and maintain digital and hard-copy repo documents.
• Log and store all received repo documents accurately.
• Track pending or incomplete documents (missing attachments, incident reports, late submissions).
• Coordinate with branches on missing documents, corrections, or late submissions.
• Assist the Big Bikes Manager in scheduling meetings, preparing simple reports, routing documents for signature.
• Send basic communications including reminders, acknowledgments, and updates.
• Assist in preparing travel documents, reimbursement attachments, and admin forms for the Repo Manager.
• Monitor and request office supplies; assist in petty cash requests (excluding PCF).
• Coordinate simple logistical needs such as photos and merchandising updates from branches.
• Encode repo unit information in MS Excel or Google Sheets.
• Prepare basic trackers and simple summary reports.
• Create templates for weekly and monthly repo reports as instructed.
• Provide administrative support to field validation activities coordinating with multiple branches.
• Organize and document outputs related to program monitoring, including receiving branch submissions for spot checks.
