We are seeking an organized, detail-oriented Administrative Assistant to support operational workflows for a dynamic US-based firm specializing in real estate financial services and tax compliance. You will manage digital document intake, organize workpaper binders, assemble final tax return packages, coordinate corporate entity formations, and facilitate client communications. This role is essential to ensuring smooth daily operations, maintaining file security, and delivering exceptional service to real estate accounting clients.
Log, organize, and maintain secure digital client records in TaxDome and SurePrep Workpaper Binders according to strict firm procedures.
Review and organize key real estate and tax documents (Form 1099, 1098, W-2, financial statements, escrow statements) and assemble finalized CCH Axcess tax return packages for client delivery.
Coordinate with white-label providers (CorpNet) to process new business entity formations and maintain multi-state corporate compliance files.
Send automated and manual reminders for document requests, filing deadlines, and compliance milestones while scheduling meetings between clients and firm accounting staff.
Execute data entry, manage client correspondence, maintain office files, and support special administrative projects for Partners and Senior Accountants.
1 to 3 years of administrative support experience, with a strong preference for candidates with exposure to public accounting (CPA firms) or real estate financial environments.
Bachelor's or Associate's degree in Business Administration, Office Management, Real Estate, or a related field (or equivalent practical experience).
Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with tax and practice management software-such as TaxDome, CCH Axcess, SurePrep, or CorpNet-is a distinct plus.
Practical ability to interpret real estate tax documents, escrow statements, and standard US tax forms (1099, 1098, W-2).
Excellent written and verbal English communication skills, sharp attention to detail, strong multi-tasking capabilities, and strict respect for client data confidentiality.
