Salary Range: Php 45,000 - Php 58,000

As a US Administration Assistant, you are the operational backbone of a fast-paced North American accounting firm. This role is designed for a highly organized professional who can manage the high-pressure demands of the US tax and accounting calendar. You won't just be managing a calendar; you will be the gatekeeper of efficiency-handling sensitive information, facilitating client onboarding, and ensuring that every compliance deadline is met with absolute precision.
Strategic Calendar & Communication Management: Act as the primary point of contact for internal and external stakeholders. Manage complex schedules, organize high-level meetings, and draft precise professional correspondence to ensure the client's office runs seamlessly.
Onboarding & Compliance Specialization: Manage the logistics of client intake and onboarding events. Assist with critical compliance tasks, such as managing W-9 forms and 1099 filings, and ensure all client documentation is prepared and filed according to firm standards.
Information & Document Architecture: Handle confidential and sensitive information with the highest level of integrity. Prepare reports, presentations, and client proposals, maintaining a pristine digital filing system that supports the overall efficiency of the firm.
Operational Efficiency Leadership: Oversee incoming correspondence and prioritize urgent requests to ensure key initiatives and deliverables stay on track. Track Key Performance Indicators (KPIs) and provide proactive solutions for managing operational workflows and enhancing client engagement.
Client Service Excellence: Address client inquiries promptly and offer outstanding problem-solving support. Whether coordinating special projects or managing day-to-day office duties, your goal is to uphold the company's standards and enhance the client experience.
The Experience: Minimum of 2 years' administrative experience specifically within a U.S. accounting firm. You have direct exposure to workflow support and the management of complex compliance documentation.
Technical Mastery: Familiarity with industry-standard practice management systems such as Thomson Reuters, CCH, or similar platforms. You are proficient in the Microsoft Office suite and have a strong understanding of US-specific administrative requirements.
The Mindset: A proactive self-starter with exceptional attention to detail and strong English communication skills. You are a natural at multitasking and can manage high-priority projects independently while maintaining professional composure.
