The Assistant Director of IT supports the Director of IT in managing the hotel's Information Technology operations, infrastructure, systems, cybersecurity, and IT support services.
The position is responsible for ensuring the reliability, security, and availability of all IT systems and services required for the hotel's daily operations, while providing effective technical support to colleagues and guests and ensuring compliance with company and brand IT standards.
Key Responsibilities
1. IT Operations & Infrastructure
- Assist the Director of IT in managing the hotel's day-to-day IT operations.
- Ensure the availability, reliability, and performance of IT infrastructure and systems.
- Monitor servers, network infrastructure, Wi-Fi, switches, firewalls, and other IT equipment.
- Ensure appropriate preventive maintenance of IT systems and equipment.
- Identify and resolve technical issues promptly to minimize operational disruption.
- Maintain accurate IT asset and equipment records.
- Support the operation and maintenance of key hotel technology systems, including:
- Property Management System (PMS)
- Point of Sale (POS) systems
- Door Lock / Key Card systems
- Telephone / PABX systems
- Guest Wi-Fi
- CCTV and security systems
- Time Attendance systems
- HR and payroll systems
- Finance and other business applications
- Coordinate with system vendors and external service providers when required.
- Ensure integration and connectivity between hotel systems where applicable.
3. IT Support
- Ensure timely and professional IT support to all hotel departments.
- Monitor and prioritize IT support requests and incidents.
- Provide technical assistance to users and resolve hardware and software problems.
- Ensure proper onboarding and IT setup for new employees.
- Coordinate the creation, modification, and termination of user accounts and system access.
- Maintain appropriate documentation for IT procedures and troubleshooting.
4. Cybersecurity & Data Protection
- Assist in implementing and maintaining the hotel's cybersecurity policies and procedures.
- Monitor system access, user privileges, antivirus protection, firewalls, and security controls.
- Ensure regular software updates, security patches, and vulnerability management.
- Support data backup and disaster recovery procedures.
- Assist in investigating and responding to cybersecurity incidents.
- Ensure confidential hotel and guest information is appropriately protected.
- Promote cybersecurity awareness among hotel colleagues.
5. Network & Connectivity
- Maintain the hotel's wired and wireless network infrastructure.
- Monitor network performance and connectivity.
- Ensure reliable internet connectivity for hotel operations and guests.
- Troubleshoot network outages and performance issues.
- Work with internet service providers and telecommunications vendors when required.
6. Projects & System Implementation
- Assist the Director of IT with IT projects, system upgrades, and new technology implementations.
- Participate in planning, testing, implementation, and documentation of new systems.
- Coordinate with vendors, contractors, and hotel departments during IT projects.
- Ensure projects are completed within agreed timelines and standards.
- Evaluate new technologies that may improve operational efficiency and guest experience.
- Coordinate with IT suppliers, vendors, and service providers.
- Monitor vendor performance and service-level agreements.
- Assist with quotations, procurement, and technical evaluations.
- Ensure external technicians and contractors comply with hotel security and operational requirements.
8. IT Budget & Cost Control
- Support the Director of IT in preparing and monitoring the IT budget.
- Monitor IT-related expenses and identify opportunities for cost optimization.
- Ensure appropriate control of IT assets, licenses, subscriptions, and services.
- Assist in preparing CAPEX proposals for IT equipment and technology projects.
9. Compliance & Documentation
- Ensure compliance with company, brand, and hotel IT policies and standards.
- Maintain updated IT policies, procedures, network documentation, and system records.
- Support internal and external IT audits.
- Ensure software licensing and technology compliance requirements are maintained.
- Supervise and support the IT team in the absence of the Director of IT.
- Allocate daily tasks and monitor team performance.
- Coach and develop IT colleagues.
- Identify training and development requirements.
- Promote teamwork, accountability, and professional service within the IT department.
