Job description

Team Administrator – support a division and its managers
  • Bring your administration and people skills ability to support a national team
  • Enjoy variety: financial admin, onboarding of staff, and meeting coordination
  • Be part of a growth sector, with infrastructure critical to Aotearoa

Our core purpose is to empower the energy future for New Zealand – a future that delivers a net-zero carbon economy and a reliable and secure electricity system.

Transpower owns and operates New Zealand’s National Grid – the high-voltage network that moves electricity from where it is generated to the distributors and lines companies who take it to towns, cities, homes, hospitals, and businesses across the country. As New Zealand electrifies more of its economy, and electricity demand increases, our work and how we achieve it becomes even more important.

About the Division

Our Grid Development division of ~ 200 engineering, technical and economic specialists based primarily in Wellington, Auckland and Christchurch, looks ahead to understand what New Zealand’s electricity network needs will be over the next 20 to 30 years. The team considers things like growing electricity demand, new generation, how the existing Grid can meet that need and what needs to change to remain reliable and fit for the future. It is thoughtful, long-term work that helps shape investment and infrastructure decisions for Aotearoa.

About the opportunity – due to lateral promotion

Located in our Wellington head office, this role provides highly effective and professional administration support to the Grid Development team. Varied and fast-paced, it involves anticipating needs, coordinating moving parts, and helping busy managers and specialists stay organised, connected and on track.

You will be involved in a broad mix of work, including:

  • Coordinating meetings, workshops, and team logistics, including agendas, papers, minutes, room bookings, catering and technology setup
  • Supporting onboarding and offboarding, travel bookings (domestic & occasionally international), office coordination and general team administration
  • Providing financial administration support such as purchase orders, invoice processing, accruals, contract administration and budget information
  • Maintaining accurate records, filing, team information and shared resources across systems such as Microsoft 365, SharePoint and financial systems
  • Building positive working relationships with managers, administrators in other teams and our EA’s, internal teams, suppliers and other stakeholders. You’ll look for ways to improve workflows, keep things running smoothly and strengthen team effectiveness.

What will you bring?

You’ll have administration experience supporting a large team or multiple managers, with a positive and solution focused approach! You enjoy variety, work well with multiple priorities, and take pride in delivering high-quality support. You won’t need to come from the electricity sector, but you will be curious, adaptable and confident in learning new systems, acronyms, and context in large organisations.

Your CV and cover letter will demonstrate:

  • Proven experience in an administration, coordination or office support role supporting multiple managers and/or teams.
  • Strong organisation skills, sound judgement, attention to detail and the ability to work at pace while managing expectations. You can context switch, spot issues early, follow through and have helped improve processes over time.
  • Clear, professional written and verbal communication skills and a collaborative, customer-focused approach.
  • Good experience with Microsoft Office applications, SharePoint and ideally financial management systems to process purchase orders and invoices, before they are sent to finance, will be an advantage.
