Job summary

Timescapes in Auckland is hiring a recruitment specialist for a 3-month fixed term with hybrid working. You will recruit across Sales, Customer Success, Engineering, Product and Operations, coordinating across New Zealand, Australia, Canada and the United States.

You will use AI to source and screen candidates, build pipelines, and partner with our Director of People Experience to drive fast, fair hiring from day one.

Qualifications

• 3+ years in recruitment, agency or in-house.
• Experience in a high-growth tech company is preferred.
• Direct sourcing and multi-country hiring experience is ideal.

Responsibilities

• Set every role up quickly with intake calls, briefs, ads and Workable setup.

Founded in New Zealand in 2017, Timescapes is a visual progress tracking solution for complex construction projects. Our mission is to simplify construction through shared visibility. Customers love Timescapes because it helps them stay on schedule, validate construction claims and communicate progress more effectively.

We're used by some of the largest construction firms across Australia, Canada, New Zealand and the United States. It's a fast, intuitive platform that gives site teams continuous visibility of what's actually happening on the ground.

Why we need you

Four markets, high growth, hardware and software. A team of good humans. This role is how we find more of them. We have around 50 people, with teams in Auckland, Christchurch, Sydney, Melbourne, Toronto, Vancouver, Plano, and soon Austin.

We're hiring across all four markets at once, and we need an extra set of experienced hands. You'll be based in Auckland on a three-month fixed term, working alongside our Director of People Experience to keep hiring moving.

It's a short role with a lot packed into it. You'll be hiring for Sales, Customer Success, Engineering, Product and Operations, in a construction tech company with real momentum. Your work is visible here from week one.

We want you to recruit AI-first. The tools do the searching, research and admin, and you spend the time you get back talking to great talent in the market.

The role

You'll own the pace of our hiring: intake calls, first screens and coordination across four time zones, keeping every role and every candidate moving. You'll also help build our pipeline, working with our Director of People Experience on how we source and grow our talent pools.

A lot of our hiring happens in North America, so a few mornings a week you'll be online from 7am to catch candidates and hiring leaders in their afternoon. We'll finish your day earlier to match.

Key responsibilities

Set every role up to move faster

• Run intake calls with hiring leaders and turn them into a clear brief, a job ad and a Workable setup for each role.
• Prepare interview guides and scorecards so every panel assesses candidates the same way.
• Build your admin on AI from day one: scheduling, interview notes, candidate updates. You'll work in Workable, and we want to know which AI tools you use and why.

Screen with a people lens

• Review applications and run first-stage video screens across all our functions.
• Use AI to research candidates, and leave every hiring decision to people.
• Write screening summaries a hiring leader can read in two minutes and act on.

Coordinate across four time zones

• Own the pace of every process, so no candidate or hiring leader is left waiting on a next step.
• Run scheduling for every stage across New Zealand, Australia, Canada and the US, from first interviews through to scenario presentations and final meetings.
• Keep every role current in Workable and Paraform, and send hiring leaders a weekly view of where their pipeline is at

Build the pipeline

• Source directly for North America roles, and map talent for our core hiring areas in the market.
• Work with our preferred agencies where needed: brief them well, keep them updated each week, and make sure their candidates get the same experience as ours.
• Partner with our Director of People Experience on a pipeline process that grows our direct sourcing.
• Track what's working: time to hire, source of hire, candidate feedback, and where the tools help or get in the way.
• Capture what works as you go, so it's ready for our recruitment playbook.

Profile and experience

• 3+ years in recruitment, agency or in-house.
• You've worked in a high-growth tech company, and you know what it takes when hiring has to keep up with the business.
• You've run a busy desk across multiple roles and kept every process moving, with no candidate left waiting.
• You source directly. LinkedIn Recruiter, talent mapping and cold outreach are part of your week.
• You use AI in your recruiting every day and can show us how: the workflow, the prompts, what it changed. We'll ask.
• You know where AI shouldn't make the call, and you care about fairness and candidate experience as much as speed.
• You've recruited across more than one country, and you know that reference checks, right to work and candidate expectations differ.
• Hiring leaders trust your read on a candidate, and your screening notes are short and useful.
• Early starts work for you. Our overlap with North America is early morning in Auckland.
• You can start ASAP and commit to the full three months.
• Workable experience is a plus.
