Job summary

Whakapapa Ski Area is seeking a detail-oriented Food & Beverage Admin Assistant to support stock control, purchasing, rostering and payroll. You’ll work closely with the F&B team to keep seasonal operations running smoothly on Mt Ruapehu.

Responsibilities include stocktakes, invoicing, rosters, payroll prep and reporting. Strong Excel skills and discretion with confidential data are essential.

Qualifications

• Administration experience, ideally alongside Food & Beverage or hospitality experience.
• Confident Microsoft Excel skills and the ability to learn new systems.
• Strong attention to detail and accuracy when working with numbers and data.

Responsibilities

• Coordinate monthly stocktakes and maintain accurate inventory records in Loaded Reports.
• Investigate stock discrepancies and maintain records of stock movements, wastage and adjustments.
• Process invoices and purchase orders through ProSpend, following up discrepancies with suppliers and Finance.
• Assist with rosters, timesheet checks, leave records and payroll preparation.
• Maintain product information, menus, pricing and departmental reporting.
• Support seasonal recruitment, interviews and onboarding.
• Assist with Food Control Plan records, liquor licensing administration and general departmental tasks.
• Assist with winter recruitment administration, including coordinating and conducting interviews, communicating with candidates and supporting onboarding.
