Responsibilities

  • Coordinate administrative functions across Outpatient and Perioperative Services to ensure theatre sessions are booked in advance
  • Assist in clinic scheduling and staff rostering to fit clinical timetables
  • Monitor compliance with MoH targets and support achievement through administrative systems
  • Establish and maintain collaborative relationships with Nurse Manager Planned Services, Elective Services Manager, CNM Outpatient and CNM Perioperative Services
  • Work across Monday–Friday, 80 hours per fortnight (1.0 FTE)

About the Role

We are looking for an energetic and experienced administrator to join our team. If you work best in a fast-paced environment where change is constant, then this could be the ideal role for you.

The Planned Services Administrator will support the timely and efficient delivery of Planned Services by coordinating all administrative functions across the Outpatient and Perioperative Services. This encompasses managing the flow of a patient's journey between services, ensuring theatre sessions are well booked in advance. Also assisting the Charge Nurse Manager Planned Services and Associate Charge Nurse Managers Outpatients and Periop in the coordination of clinic scheduling and staff rostering ensuring clinical timetables are fit for purpose across both services.

The role also encompasses monitoring compliance with pertinent Ministry of Health (MoH) targets working in collaboration with the Elective Services manager to ensure administrative systems are tailored to support the achievement of these.

Establishing and maintaining an effective, collaborative relationship with the Nurse Manager Planned Services, Elective Services Manager, CNM Outpatient Services and CNM Perioperative Services, is key to the success of this role.

This is a permanent full‑time position working 80 hours per fortnight (1.0 FTE), this position will work across Monday – Friday, days and hours of work will be discussed with successful applicant.

About You

Proven experience in an administrative/coordination position, a qualification would be advantageous

  • Strong organisation skills, the ability to prioritize and a high level of accuracy.
  • Previous Bookings experience in health‑related groups is essential.
  • High level communication skills, able to communicate effectively with a wide range of health professionals and patients.
