We are looking for an organized, proactive, and commercially minded Operations Coordinator to join our growing team. This is a pivotal role that sits at the center of our operations, connecting customers, planning, field teams, and finance to ensure temporary traffic management projects are delivered safely, efficiently, and profitably.

About the Role

As our Operations Coordinator, you will be responsible for coordinating the end-to-end delivery of temporary traffic management projects, from confirmed customer bookings through to successful field execution and invoicing.

You'll take ownership of scheduling people, vehicles, plant, and equipment, ensuring work is appropriately resourced and operationally ready. You'll also play a key role in commercial oversight, customer communication, operational compliance, and financial recovery.

Key Responsibilities
Operations & Scheduling

Manage customer bookings from confirmation through to field delivery.

Coordinate and schedule operational staff, vehicles, equipment, and subcontractors.

Maintain forward planning visibility and forecast future resource requirements.

Respond quickly to operational changes, cancellations, and customer requests.

Ensure work is accurately entered and maintained within MY TTM.

Prepare traffic management pricing based on approved TMPs.

Conduct commercial quality checks before work is deployed.

Capture and recover variations, additional works, and chargeable resources.

Support charge sheet preparation and invoicing processes.

Assist with timesheet verification and payroll information.

Build and maintain strong customer relationships.

Provide proactive communication around upcoming works and operational updates.

Support issue resolution and customer enquiries.

Liaise with suppliers, subcontractors, and Road Controlling Authorities.

Compliance & Administration

Coordinate RCA notifications and operational requirements.

Monitor completion of field documentation and STMS paperwork.

Support operational compliance with NZGTTM and company procedures.

Maintain accurate records and reporting information.

What We're Looking For

You will ideally bring:

Experience in operations coordination, scheduling, dispatching, or resource planning.

Experience within Temporary Traffic Management, civil construction, infrastructure, logistics, or a similar operational environment.

Strong organizational skills and exceptional attention to detail.

The ability to manage multiple priorities and changing demands.

Commercial awareness and confidence working with pricing, labour, and equipment allocations.

Strong communication skills with customers, suppliers, and operational teams.

Experience using workforce management, scheduling, or job management systems.

Proficiency in Microsoft Office and general business systems.

Experience with MY TTM.

Understanding of NZGTTM requirements and traffic management operations.

Knowledge of resource planning and operational forecasting.
