Job description

We're looking for an organised, energetic and people-focused Event Operations Coordinator to help deliver outstanding events across some of Whanganui's most iconic venues.

From conferences and gala dinners to concerts, performances, sporting functions and community celebrations, you'll be at the heart of ensuring events run smoothly from start to finish. Whether you're coordinating event set-ups, managing casual staff, overseeing bar operations, or solving last-minute challenges, you'll play a key role in creating exceptional experiences for our clients and audiences.

This is a varied, fast-paced role that would suit someone who enjoys working with people, thrives under pressure, and loves seeing an event come together.

About the role

As our Event Operations Coordinator, you'll be responsible for coordinating the operational delivery of events across the Whanganui Venues & Events portfolio.

You'll:

  • Coordinate the delivery of a diverse range of events across our venues
  • Manage casual staffing, including rostering, communications and timesheet administration
  • Coordinate bar operations, stock control, beverage services and supplier relationships
  • Oversee event set-ups, pack-downs and venue presentation alongside venue coordinators
  • Work closely with clients, suppliers, contractors and internal teams to ensure successful event outcomes
  • Provide on-site event supervision and operational support
  • Support venue bookings, ticketing and customer enquiries

One day you might be coordinating staffing and venue preparations for a major conference, the next helping deliver a sold-out show, planning beverage service for a gala dinner, or working with clients to ensure every detail of their event is ready to go.

About you

You're a natural organiser who enjoys juggling multiple priorities and building strong relationships with clients and colleagues alike.

You'll bring:

  • Experience in events, venue operations, hospitality or operational coordination
  • A proven ability to deliver events in a customer-focused environment
  • Experience coordinating staff, volunteers or casual event teams
  • Strong administration, organisational and problem-solving skills
  • Excellent customer service and stakeholder management abilities
  • Confidence managing competing priorities and working in a fast-paced environment
  • Strong written and verbal communication skills
  • A full New Zealand Driver Licence
  • Experience in venue operations, bar management, or local government will be highly regarded. A Duty Manager's Certificate or LCQ qualification would also be an advantage.

At Whanganui Venues & Events, you'll be part of a team that delivers some of the district's most significant events, celebrations and experiences. Every event is different, and every day brings new opportunities to collaborate, problem-solve and create memorable moments for our community and visitors.

If you're passionate about events, enjoy working with people, and love the buzz of bringing large-scale events to life, we'd love to hear from you.

Help create the experiences that bring Whanganui together. Join Whanganui Venues & Events and be part of something special.
