Job description

Position : Digital Marketing, AI & Operations Coordinator

Salary : Php 63,000-80,000 per month

Working Hours & Conditions: 6 Months contract with a possibility of extension based on performance

Holidays: TBC

ABOUT THE COMPANY:

We are a Māori-owned adventure tourism business based in Rotorua, New Zealand, with more than 25 years in the tourism industry. We operate a range of adventure and cultural tourism experiences and are preparing for our busy summer season from November through April. We are looking for a capable, organised and tech-savvy remote team member who can support our digital marketing, social media, online presence and day-to-day operational administration. This is a hands‑on role for someone who is comfortable moving between creative marketing tasks, technology, data and general business administration.

ROLE OVERVIEW:

We’re looking for a Digital Marketing, AI & Operations Coordinator to become an extension of our New Zealand-based team. The role will have four main areas of responsibility:

1. Social Media & Content: Manage and support content across:

  • Facebook
  • Instagram
  • TikTok
  • YouTube

Responsibilities will include:

  • Create, edit, schedule, and publish regular social media content.
  • Turn raw GoPro, phone, and guide-captured footage into engaging content.
  • Edit short-form video for Reels, TikTok, and YouTube Shorts.
  • Assist with longer-form YouTube content where required.
  • Maintain and work from an agreed social media content calendar.
  • Repurpose content across different platforms rather than creating everything from scratch.
  • Help identify strong content opportunities from our existing photo and video library.
  • Ensure content is accurate, engaging, on‑brand and culturally appropriate.
  • Monitor comments, messages and engagement where required.
  • Assist with reporting on social media performance and identifying what content is working.

2. Website & Social Media (hibernated website)

Take responsibility for helping maintain and grow the digital presence of Rotorua Combos. This includes:

  • Maintain and update the Rotorua Combos website.
  • Keep product information, pricing, imagery and links current.
  • Upload and update website content as required.
  • Manage Rotorua Combos social media channels.
  • Create and schedule social content promoting Rotorua experiences and combination products.
  • Work with supplied content from tourism partners and operators.
  • Support basic SEO and ensure website content is search-friendly.
  • Identify outdated or incorrect content and proactively arrange updates.
  • Help build Rotorua Combos into a useful digital platform for visitors planning activities in Rotorua.

3. Operational & Administrative Support

Provide remote administrative support to our operational team, including:

  • Monitor and respond to allocated business emails.
  • Assist with customer and agent enquiries.
  • Complete basic invoicing and invoice administration.
  • Enter and maintain accurate business data.
  • Update our Master Report and other internal reporting systems.
  • Assist with booking and customer data entry.
  • Maintain organised digital records and files.
  • Assist with online reviews and customer responses where required.
  • Complete other routine administrative tasks that can be handled remotely.
  • Identify repetitive administrative processes that could be simplified or automated. Accuracy and attention to detail are particularly important in this part of the role.

4. Email Marketing Support regular communication with customers, agents and our wider database. Responsibilities will include:

  • Create and format email newsletters.
  • Assist with planning a simple email marketing calendar.
  • Prepare promotional emails for products, seasonal campaigns and special offers.
  • Help segment customer and trade databases where appropriate.
  • Maintain clean and accurate email lists.
  • Track basic newsletter performance such as open rates, click-throughs and engagement.
  • Repurpose existing website and social media content for email campaigns.

5. AI Integration & Process Improvement

We actively want to use AI to make the business more efficient.

This person does not need to be an AI developer, but they should be confident using AI tools and interested in finding practical ways to integrate them into everyday business processes.

This may include:

  • Use AI tools to assist with social media content and content repurposing.
  • Assist with video, image and written-content workflows.
  • Use AI to help draft and improve newsletters, blogs and website content.
  • Identify repetitive administration that could be automated or streamlined.
  • Help develop simple AI-assisted workflows for email, reporting, data entry and marketing.
  • Research new AI tools that could save the team time.
  • Document successful workflows so they can be repeated by the wider team.
  • Look for practical ways to connect our existing systems and reduce double-handling.

We are particularly interested in someone who naturally thinks, “There must be a faster or smarter way to do this.

The successful candidate should have:
  • Experience managing business social media accounts.
  • Strong understanding of Facebook, Instagram, TikTok and YouTube.
  • Good short-form video editing skills.
  • Experience working with websites or CMS platforms such as WordPress.
  • Strong written English.
  • High attention to detail.
  • Strong organisational and data-entry skills.
  • Confidence working with spreadsheets and web-based business systems.
  • Experience using AI tools such as ChatGPT or similar platforms.
  • Ability to work independently and manage multiple priorities.
  • Confidence learning new software and digital systems.
  • Cultural awareness and care when representing a Māori-owned New Zealand business.
  • An interest in tourism, travel and adventure experiences.

  • WordPress.
  • Canva or similar design tools.
  • Video editing software.
  • Xero.
  • Email marketing platforms.
  • Google Workspace.
  • Online booking systems.
  • Tourism distribution or OTA platforms.
  • Basic SEO.
  • AI automation or workflow tools.
  • Social media scheduling platforms.
  • Reporting dashboards or spreadsheet-based reporting.
What Success Looks Like: Within the first few months, we would expect to see:
  • Consistent, professional content appearing across Facebook, Instagram, TikTok and YouTube.
  • Existing photo and video content being actively repurposed rather than sitting unused.
  • Rotorua Combos' website and social channels being actively maintained and developed.
  • Newsletters being produced and sent consistently.
  • Emails, invoicing and data-entry tasks being completed accurately and on time.
  • The Master Report being kept current.
  • Simple repetitive tasks beginning to be streamlined through AI and automation.
  • Clear systems and processes being documented.
  • Our New Zealand-based team spending less time on repetitive digital and administrative tasks. Most importantly, we want someone who becomes a reliable remote member of the team, someone who can be given an area of responsibility, take ownership of it, and look for ways to continually improve how the work is done.
