Customer Onboarding and Implementation Specialist

About the Role
Kitomba is seeking a talented Customer Onboarding and Implementation Specialist to coordinate the end-to-end onboarding journey with the technical build and data migration work required to deliver a fault‑free, fully functioning Kitomba to every new customer.
The aim of this role is to provide our customers with an exceptional onboarding experience, and your work will directly contribute to sustaining and growing our business and ensuring long‑term success and retention of our customers.
This is a full time and permanent role.
What you'll be doing
- Data migration and build
- Extract data from other point of sale and booking systems, including Fresha, Timely, Shortcuts, Simple Salon and Phorest
- Clean and format extracted data so every field maps correctly and nothing breaks the import
- Build the customer's Kitomba database to match the feature set they've purchased and the way their business actually runs
- Configure settings in our Importer Tool, Kitomba and Kitomba 1 to complete the install
- Own the outcome, so the database is fault free and fully working before the trainer walks in the door
- Run product uploads and benchmark tagging, and keep product lists current
- AI and automation
- Use Claude Code daily to script, automate and speed up data extraction, formatting and migration work
- Help design and test new AI driven onboarding processes as we build them out
- Find the parts of your own job that shouldn't be manual anymore, and do something about it
- Onboarding coordination
- Manage the onboarding queue in Zendesk and process new contracts through our systems
- Run the customer expectations call, chase hardware details, set up remote access and get data backups in
- Book and confirm training, brief trainers, and back up our Customer Training Specialist when they're away
- Check in with customers the day after install and see any follow-up work through to done
- Report on onboarding throughput and customer experience
- Keep our Confluence documentation current, and flag risks early, especially anything that could derail a go-live date
What you'll bring
- Excellent problem solving. You work things out, you don't wait to be told, and you can build a simple practical fix under time pressure
- The ability to thrive in a fast-paced environment with a lot of change. Priorities shift here, and processes are actively being rebuilt
- Advanced Excel. This is the core tool of the role. You should be comfortable with lookups, text functions, cleaning messy exports and manipulating large data sets without breaking them
- Proficiency with Claude Code is preferred. If you've used other AI tools well and you're keen to learn, we'll support you to upskill
- Working knowledge of database principles and tools like DBVisualizer
- SQL is desirable, and if you don't have it yet, a real willingness to pick it up quickly is essential
- At least 2 years in a technical role involving data manipulation, investigation or migration
- At least 3 years in a customer-facing role, ideally SaaS, contact centre, or hair and beauty
- Strong organisation, because you'll have 15 to 25 customers in flight at once, all at different stages
- Attention to detail. A missed character in a data file becomes a broken database, and a broken database becomes a bad first impression
- Clear communication, so you can explain a technical problem to a salon owner without making them feel lost
- Knowledge of the hair and beauty industry is a bonus, not a requirement
