Job summary

KiwiRail is seeking a Corporate Workplace Manager to lead the front-of-house experience at our Wellington corporate office. You will be the first point of contact for guests, staff, and contractors, ensuring reception runs smoothly and professionally while coordinating workplace activities.

The role combines reception, customer service, administration, and workplace coordination, reporting to the National Facilities Manager.

Qualifications

  • Previous experience in reception, administration, hospitality, customer service, or front-of-house roles.
  • Exceptional customer service skills with a genuine passion for helping people.
  • Strong verbal and written communication skills.
  • A professional and welcoming manner with confidence dealing with a diverse range of people.
  • Excellent organisational skills and the ability to juggle multiple priorities.
  • Strong attention to detail and a proactive approach to problem solving.
  • Sound Microsoft Office skills and confidence learning new systems.
  • Experience supporting office operations, workplace coordination, or administration is desirable.

Responsibilities

  • Providing a professional, friendly and welcoming reception service for visitors, contractors, and employees.
  • Acting as the first point of contact for enquiries, directing visitors and responding to requests.
  • Managing incoming calls, emails, deliveries, and visitor registrations.
  • Supporting the public 0800 business line by handling customer enquiries and resolving issues.
  • Coordinating meeting rooms, catering, and visitor arrangements.
  • Assisting with workplace events, meetings, and staff activities.
  • Maintaining presentation standards across reception, meeting rooms, and shared office spaces.
  • Supporting workspace and office administration activities.
  • Raising purchase orders and maintaining workplace records and documentation.
  • Coordinating building-related requests and liaising with facilities providers and contractors.
  • Assisting with security, access cards, visitor processes, and workplace compliance requirements.
