What You’ll Actually Be Doing:
You’ll be the go-to person for multiple clients from small business owners, to tradies, coaches and solo operators who are brilliant at what they do, but are drowning in the admin that comes with running a business.
Your job isn’t just to do the work. It’s to figure out the smartest way to get it done.
That means proactively getting work off clients, delegating what you can to our wider team, and automating what doesn’t need a human touching it at all. You would only complete the work that’s left after all of that.
You don’t need to come in knowing how to build automations, but you do need to be genuinely curious, willing to learn, and ready to use those skills once you have them.
You’re not just working through a to-do list, you’re constantly asking "should I be doing this, or can someone (or something) else?" It takes a bit of getting used to, but once it clicks, it changes how you work for good.
Day to Day, You’ll Be:
Acting as a virtual bookkeeper and admin support for clients (invoicing, managing bills, to calendar management, inbox wrangling, general "make life easier" stuff)
Building real relationships with clients and being their trusted first point of contact
Delegating work across our team and staying across what’s happening with it
Learning and using automation and AI tools to reduce repetitive work for clients
You'll Fit Right In If You Have:
Experience as a bookkeeper and using Xero. Bookkeeping is a big part of what our clients need, so you must be familiar with Xero. Any payroll experience is an advantage too!
The ability to task-switch with efficiency. While this role will have a focus on bookkeeping, it will be varied with some admin/PA-type tasks as well
Tech confidence. We use a lot of tools, and you need to be comfortable figuring out ones new to you
Excellent communication skills (zero fear of Zoom or picking up the phone)
An interest in AI, even if you’re not experienced yet. (If you’ve already played around with tools like ChatGPT, Copilot, Gemini, or Claude, that’ll give you a head start)
An interest in learning automation (again, you don’t need experience but this will be something you learn on the job)
Location:
We’re based in Trentham, Upper Hutt. If you’re in the Hutt Valley or Wellington, you’d be in the office Tuesday to Thursday with Monday and Friday from home. If you’re somewhere else in New Zealand and you’re genuinely exeptional, we’re open to a fully remote arrangement.
