UniLodge Auckland Central is seeking an organised Administration Coordinator focused on Reservations to join our team. This full-time role sits at the heart of the property, managing bookings and renewals while supporting our operations and administration behind the scenes.

You’ll be proactive, enjoy solving problems and interacting with residents and partners, providing a smooth and positive experience from enquiry through stay. Excellent organisational and communication skills are essential.

Qualifications

  • Strong administrative skills and attention to detail.

  • Excellent written and verbal communication.
  • Proficient computer skills and quick system learning.
  • Experience in administration or reservations is advantageous.
  • Be able to provide evidence of a National Police Check at your own cost.

  • Maintain records and office systems; support GM and team.

  • Looking for someone with strong administrative skills.
ABOUT THE ROLE

UniLodge Auckland Central is looking for a highly organised, people-focused Administration Coordinator to join our team.

This is a varied role that sits at the heart of the property. You’ll play an important part in managing reservations and renewals, supporting our operational teams, and keeping the administration behind the property running smoothly.

You’ll be someone who enjoys being organised, solving problems and working with people. No two days will necessarily look the same, and you’ll have the opportunity to make a real contribution to how we operate and how our residents experience UniLodge.

Your Duties will include and not limited to:

Reservations & Customer Experience
  • Manage bookings for new and returning residents from enquiry through to confirmation.
  • Lead the renewal process for existing residents.
  • Respond to resident enquiries across phone and email in a timely and professional manner.
  • Maintain waiting lists and work proactively to support occupancy targets.
  • Build strong relationships with referral agents and other external partners.
  • Work closely with the wider team to provide a smooth and positive resident experience.
Administration
  • Maintain accurate records, databases and office systems.
  • Provide high-level administrative support to the General Manager and wider property team.
  • Support the continuous improvement of systems, processes and procedures.
  • Assist with the in-house debtor process and support the team with outstanding accounts.
  • Work across our Property Management, Finance, HR and Payroll systems, ensuring information is accurate and up to date.
  • Liaise with contractors and service providers, including maintenance, cleaning and security.
  • Provide administrative support to other areas of the property when required.
WHAT WE’RE LOOKING FOR
  • Strong administration and organisational skills, with excellent attention to detail.
  • The ability to manage competing priorities and keep things moving.
  • Excellent written and verbal communication skills.
  • Confidence dealing with residents, suppliers, referral partners and internal stakeholders.
  • A proactive, “can-do” attitude and a practical approach to solving problems.
  • Good computer skills, including "Microsoft Office" and the ability to learn new systems quickly.
  • An interest in finding better ways of doing things and contributing ideas that improve the way we work.
  • The ability to work independently while also being a supportive member of the wider team.
  • Previous experience in administration, reservations, accommodation, property, customer service or a similar environment would be advantageous.
  • Ability to provide evidence of a National Police Check at your own cost.
