Health New Zealand - Te Whatu Ora Greymouth is seeking an experienced Administration Assistant to support the Hospitality Manager and the wider team with a range of administrative, financial and payroll tasks.

You will be detail‑focused, organised and capable of handling confidential information, with strong Excel and MS Office skills, and the ability to manage competing priorities in a busy hospital environment.

Qualifications

  • Previous admin experience in a large organisation.
  • Strong Microsoft Word, Outlook and Excel skills.
  • Intermediate to advanced Excel: formulas, functions and data tools.
  • Experience handling payroll, invoices and purchase orders.
  • Accurate record keeping and meeting deadlines.
  • Ability to analyse data and present clear information.
  • Attention to detail and high accuracy.
  • Strong organisational and time-management skills.
  • Ability to work independently and as part of a team.
  • Proactive in identifying errors and resolving issues.

Responsibilities

  • Provide admin support to Hospitality Manager and team.
  • Complete administrative tasks accurately within timeframes.
  • Maintain monthly spreadsheets, reports and data.
  • Prepare and process payroll information, timesheets and attendance.
  • Process purchase orders, invoices and credit notes.
  • Maintain financial and administrative records.
  • Support Meals on Wheels with orders, records and invoicing.
  • Assist with routine reporting, data collection and correspondence.
  • Provide timely information to support decisions.
  • Liaise with staff, suppliers and stakeholders for service.
  • Handle confidential information per policy.
  • Identify opportunities to improve processes.

Administration Assistant - Commercial ServicesBring your administration, financial processing and dataskills to a varied role supporting the day-to-day operation of our Hospitalityservice.

We are looking for an organised, proactive anddetail-focused Administration Assistant to provide reliable administrativesupport to the Hospitality Manager and wider Hospitality team.

This is a busy and varied role where you will play animportant part in keeping administrative, financial, payroll, reporting andMeals on Wheels processes running smoothly. Your accuracy, organisation andability to manage competing priorities will help ensure our team has theinformation and support they need to deliver a high-quality service.

About the role

Working alongside the Hospitality Manager and team, you willprovide a broad range of administrative support, including:

  • Completingadministrative tasks accurately, efficiently and within requiredtimeframes.
  • Maintainingmonthly spreadsheets, reports and operational data.
  • Preparingand processing payroll information, timesheets and staff attendanceinformation.
  • Processingpurchase orders, invoices and credit notes, ensuring the appropriatedocumentation is provided.
  • Maintainingaccurate, well-organised and up-to-date financial and administrativerecords.
  • Identifyingand following up errors, discrepancies and outstanding information.
  • Providingadministrative support for Meals on Wheels, including orders, records,invoicing and reporting.
  • Assistingthe Hospitality Manager with routine reporting, data collection,correspondence and other administrative requirements.
  • Providingtimely and accurate information to support operational and financialdecision-making.
  • Liaisingwith staff, suppliers and other stakeholders to provide a professional,responsive and helpful service.
  • Handlingconfidential and sensitive information appropriately and in accordancewith organisational policies and requirements.
  • Identifyingopportunities to improve administrative processes and ways of working.

About you

You will be an experienced administrator who takes pride ingetting the details right and enjoys working in a busy, service-focusedenvironment.

You will bring:

  • Previousexperience in an administrative role, preferably within a large or complexorganisation.
  • StrongMicrosoft Office skills, particularly Word, Outlook and Excel.
  • Intermediateto advanced Excel skills, including the ability to use formulas, functionsand data tools to manage, analyse and present information.
  • Experienceprocessing financial and administrative information, including purchaseorders, invoices and credit notes.
  • Experiencemaintaining accurate records and meeting regular processing and reportingdeadlines.
  • Theability to manipulate, collate and analyse data and present information ina clear and easy-to-understand format.
  • Excellentattention to detail and a high level of accuracy when entering, checkingand reporting information.
  • Strongorganisational and time-management skills, with the ability to prioritisecompeting demands.
  • Theability to work independently while also contributing positively to ateam.
  • Aproactive approach to identifying errors, resolving issues and followingup outstanding information.
  • Theability to manage confidential and sensitive information with discretion.

It would be an advantage if you have:

  • Previousexperience within a healthcare, hospitality, food service or other largeservice-based environment.
  • Experienceproviding administrative support to a manager or operational team.
  • Experiencewith payroll administration, timesheets or staff attendance processes.
  • Experiencewith purchasing and financial processes.
