As a Proposal Specialist, you will play a central role in our sales and administrative processes. You will work closely with the sales team providing support from customer requests to customer acceptance. You will collaborate with sales managers and technical specialists to qualify customer requests and create proposals. Additionally, you will support the project team during project execution. We seek someone with strong analytical skills, creativity, and a proactive mindset.
Key Tasks and Responsibilities:
Sales and Business Support
- Support Sales Manager in acquiring new business opportunities.
- Act as Sales Manager for specific projects or components.
- Create sales presentations and promotional materials.
- Understand customer needs thoroughly and ensure they are addressed in proposals and contracts.
- Develop and deliver sales presentations.
- Coordinate communication with customers alongside the Sales Manager.
- Share information and requirement updates within the sales team.
- Assist the sales team with administrative tasks and coordination.
Proposal and Contract Management
- Create proposals in agreement with the Sales Manager.
- Manage proposal-related activities and materials.
- Develop competitive pricing strategies and compelling proposals.
- Lead the proposal realization process as the main contact.
- Prepare proposals and contracts based on client and Sales Manager input.
- Ensure proposal submissions are properly formatted, complete, and compliant.
- Perform contract reviews and risk assessments with Sales and Legal teams.
- Ensure contracts and purchase orders are accurate and complete.
- Maintain proposal and contract data in ROSEN Business Software (BSW) and SAP, supporting invoicing.
Data Management and Reporting
- Maintain an overview of referenced projects.
- Ensure data quality through regular checks.
- Support data entry for third-party software.
- Register budgets and update data in BSW.
- Provide information to project managers and stakeholders.
- Conduct market surveys and analyze trends.
- Perform data analysis and reporting.
Documentation and Process Optimization
- Manage pre-qualifications and audit documentation.
- Assist in creating SOPs and ‘How-To’ documents.
- Coordinate with various functions to optimize costs.
- Manage sales and project reporting activities.
- Maintain organized records and ensure seamless project handovers.
- Communicate effectively across teams.
What you will bring
Mandatory Qualifications:
- Proven experience in a similar sales or administrative role (1-3 years).
- Bachelor’s degree in Business Administration, Sales, Marketing, or related field preferred.
- Strong attention to detail and organizational skills.
- Excellent communication skills in Norwegian and English.
- Ability to manage multiple tasks and meet deadlines.
- Familiarity with legal compliance and feasibility checks.
- Proficiency in preparing written documents.
