The Operations Coordinator supports all areas of the organization with an emphasis on Distribution & Logistics. The Operations Coordinator is responsible for making sure the warehouse receives & ships product on time and follows up with freight forwarders to monitor for potential delays. They ensure the proper handling of material to prevent damage and check that the correct documentation is submitted.
Key Duties and Responsibilities include the following. Other duties may be assigned.
Order handling: Handle spot and scheduled orders, for our regular, new, and forecast customers. Purchase goods based on customer’s demand, stock level, and forecast schedules while keeping a close eye on supplier’s lead times. Troubleshoot shortages, pull-in, or delivery delays if they occur, find solutions in collaboration with the customer, supplier or warehouse while minimizing escalations to higher management. Oversee customer clearance, issue necessary documents, and communicate with local authorities regarding shipping, importing, and exporting. Request and receive proof of receipt for VAT purposes, organize documentation and follow up missing proof.
Customer forecast control: Receive and validate incoming forecast sheets, schedules, and call-offs. Communicate inconsistencies with the customer and decide whether to purchase by analyzing customer demand, supplier lead times and current and future stock levels. Troubleshoot shortages, pull-in, or delivery delays if they occur, find solutions in collaboration with the customer, supplier or warehouse while minimizing escalations to higher management. Purchase goods based on future demand and have them delivered just in time, whether in the warehouse or another pick-up location. Inform and update all involved parties about lead times, ETD’s, ETA’s and (possible) deviations from the schedules. Find and provide solutions in case the, every changing, situation requests.
Stock Control: Ensure that all products are in the warehouse in just the right quantity, just in time while actively monitoring and avoiding overstock situations by negotiating with customers and suppliers. Perform and execute random or cycle stock checks in collaboration with the warehouse and compare the administrative with physical stock levels. Act in case of deviations by investigating the root cause and develop methods and solutions to prevent discrepancies as much as possible. Assist with the (bi) yearly physical stock checks and help explain and prevent stock discrepancies.
Freight Cost Control: Continuous logistics cost checks to stay competitive with the aim of reducing warehousing and freight fees. Optimize freight cost by consolidating shipments and balancing the freight cost per unit with the risk of deadstock creation.
Customer Service: Provide excellent customer service, common for Japanese companies, to ensure recurring and increasing sales. Advise your customers (external and internal) about the most ideal and cost-effective shipping method. Act as account manager by connecting different parties in case of delivery issues, quality problems and provide end-to-end customer service.
