Blue Phoenix is looking for a structured and detail-oriented H&S Governance Administrator to support and coordinate our global Health & Safety governance and reporting processes across all countries we operate in. You will play a key role in maintaining accurate reporting cycles, structured documentation, action tracking, and reliable Health & Safety data systems that support effective decision-making across the organization. This role reports to the Group Head of Health and Safety and involves close collaboration with H&S stakeholders across multiple countries.

Tasks & Responsibilities

• Coordinate monthly Health & Safety reporting processes across all countries
• Support the preparation of monthly and quarterly H&S management and board reports
• Maintain incident, near miss, HiPo, and corrective action registers
• Maintain Safety Flash and Immediate Action Notice registers and follow up actions to closure
• Maintain document control for H&S standards, procedures, templates, and governance documentation
• Maintain and update SharePoint Health & Safety content and ensure consistency across systems
• Track workshop attendance, training completion, and communication evidence for audit and compliance purposes
• Support audit, inspection, and corrective action tracking activities
• Follow up overdue actions and escalated where required
• Prepare structured summaries and updates for the Group Head of Health & Safety
• Support the rollout and tracking of Life Saving Rules, Zero Tolerance Rules, and Group safety campaigns
• Maintain consistency, accuracy, and integrity of Group Health & Safety data systems and reporting structures

Qualifications

• 5-7 years of experience in a Health & Safety administration, coordination, or governance support role
• HBO working and thinking level with relevant administrative or Health & Safety support experience
• MVK or NEBOSH Certificate is an advantage
• Experience within industrial sectors such as manufacturing, construction, waste, recycling, or heavy industry is highly desirable
• Experience with incident reporting systems and structured Health & Safety data management
• Experience with document control within formal management systems
• Experience with reporting dashboards or business intelligence tools such as Power BI is an advantage
• Strong organizational skills with a high level of accuracy and attention to detail
• Ability to manage recurring deadlines, reporting cycles, and multi-country coordination activities
• Strong communication and stakeholder management skills across different organizational levels and cultures
• Ability to work independently and maintain structure in complex reporting environments
• Fluent in Dutch and English, written and spoken. German and/or Danish language skills are considered an advantage
