Position Overview

The Senior Executive / Assistant Manager – Strategic Projects is responsible for coordinating and driving the successful execution of key strategic and operational initiatives across Primabaguz Group. Reporting to the Managing Director, this role ensures projects are effectively planned, coordinated, monitored and implemented by working closely with cross-functional teams and maintaining appropriate project governance throughout the project lifecycle.

The incumbent will work closely with all business functions and Heads of Department to coordinate cross-functional initiatives, monitor project progress, facilitate issue resolution, and ensure projects are executed in accordance with agreed timelines and business objectives. The role will provide regular updates and recommendations to Management to support timely decision-making and successful project implementation.

The successful candidate is expected to build strong collaborative relationships across the organization and serve as a trusted coordination partner to all functions, ensuring strategic initiatives maintain momentum and agreed deliverables are successfully executed.

Success in this role will depend on the ability to build trusted relationships, influence stakeholders through collaboration, and maintain disciplined follow-through to ensure agreed initiatives are successfully executed.

Responsibilities

Strategic Project Coordination

• Coordinate strategic and operational projects from initiation through implementation and post-project review.
• Develop, maintain and monitor project plans, timelines, milestones, action trackers and project documentation.
• Ensure project deliverables are completed according to agreed scope, timelines and business objectives.
• Proactively follow up with project owners and stakeholders to ensure commitments and action items are completed within agreed timelines.
• Identify implementation risks, dependencies and potential delays, and facilitate timely resolution with the relevant stakeholders.
• Escalate significant project risks, delays or issues to Management where appropriate.

Cross-Functional Collaboration

• Work closely with all business functions and Heads of Department to ensure project activities are executed in a timely and effective manner.
• Coordinate cross-functional resources to ensure alignment on project priorities, objectives and deliverables.
• Facilitate project meetings, prepare agendas, record meeting minutes and maintain action logs.
• Monitor progress of agreed action plans and ensure timely closure of outstanding items.
• Foster collaboration across departments to resolve implementation challenges and maintain project momentum.
• Support strategic business initiatives, customer onboarding, product launches, capital projects and other company-wide initiatives as assigned by Management.

Project Governance & Reporting

• Prepare fortnightly and monthly project status reports for the coach and management.
• Maintain project dashboards, implementation trackers and milestone reports.
• Monitor project KPIs, timelines and deliverables to ensure effective execution.
• Ensure project governance standards, documentation, approvals and project records are maintained throughout the project lifecycle.
• Provide regular project updates, highlight implementation risks, mitigation plans, resource constraints and recommendations to support Management's review and decision-making.
• Prepare executive summaries, project presentations and management reports to support leadership meetings, strategic reviews and business updates.
• Recommend practical improvements to project planning, coordination and reporting to enhance execution effectiveness.

Education

Bachelor's Degree in Business Administration, Engineering, Food Science, Supply Chain Management, Project Management or a related discipline.

Experience

• Minimum three (3) years of relevant working experience in Commercial, Operations, Supply Chain, Manufacturing, Finance, HR or other cross-functional business functions.
• Experience coordinating cross-functional initiatives or projects will be an added advantage.
• Demonstrated ability to build strong working relationships across different functions.
• Experience within the FMCG, food manufacturing or consumer goods industry is preferred.
• Proficient in Microsoft Office applications, particularly Excel, PowerPoint and Microsoft Project or equivalent project management software.
