CUCKOO International (MAL) BERHAD is seeking a Senior Executive, RAM to oversee lease and tenancy matters, support branch operations, and manage asset and facility needs across all retail outlets. The position requires 2–3 years in lease/tenancy or facilities management, a retail background, and proficiency in Excel and reporting tools.
The Senior Executive, Retail Asset Management (RAM) is responsible for overseeing lease and tenancy matters, supporting branch operations, and ensuring effective asset and facility management across all retail outlets. This role plays a critical part in ensuring operational continuity, regulatory compliance, and cost optimization while maintaining strong relationships with landlords, vendors, and internal stakeholders. Manage end-to-end lease administration, including renewals, negotiations, tenancy agreements, and documentation.
Proactively monitor lease expiry timelines and initiate renewal or exit strategies well in advance.
Support rental negotiations to achieve commercially favorable terms aligned with company objectives.
Serve as the main point of contact for landlords, property management offices, and legal teams on tenancy-related matters.
Track rental payments, lease obligations, and ensure full compliance with contractual terms and conditions.
Maintain a centralized lease database for accurate tracking and reporting.
Provide day-to-day operational support to branches to ensure seamless business operations.
Act as the escalation point for branch-related issues and ensure timely resolution.
Collaborate with cross-functional teams (e.g., Operations, Finance, HR) to support branch needs.
Identify operational gaps and recommend improvements to enhance efficiency and service standards.
Oversee preventive and corrective maintenance programs to minimize operational disruptions.
Manage company assets lifecycle (procurement tracking, maintenance, disposal, and audits).
Coordinate with contractors and vendors to ensure timely, cost-effective, and quality service delivery.
Conduct regular site inspections and audits to ensure compliance with safety, operational, and brand standards.
Monitor maintenance budgets and ensure cost control without compromising quality.
Ensure all branches operate in full compliance with local regulatory requirements and licensing conditions.
Manage the end-to-end process of business license applications and renewals.
Liaise with local authorities (e.g., DBKL, MBPJ) and external consultants where necessary.
Track and maintain a compliance calendar for all licenses, permits, and regulatory submissions.
Ensure proper documentation and audit readiness at all times.
Maintain accurate and well-organized records for leases, licenses, assets, and maintenance activities.
Prepare regular reports including lease status, maintenance updates, compliance tracking, and cost analysis.
Provide insights and recommendations to management based on data and operational trends.
Ensure adherence to internal controls, SOPs, and audit requirements.
Develop and maintain strong relationships with landlords, contractors, and service providers.
Evaluate vendor performance and ensure service level agreements (SLAs) are met.
Source and onboard new vendors where necessary to improve cost efficiency and service quality.
Minimum Diploma, Professional Certificate, or Bachelor’s Degree in Business Administration, Property Management, Facilities Management, or related field.
2–3 years of relevant experience in lease/tenancy management, retail operations, or facilities/property management.
Experience in multi-branch retail environments is an added advantage.
MUST have Retail Background.
Strong knowledge of lease agreements, tenancy negotiations, and landlord management.
Familiar with local authority licensing processes (e.g., DBKL, MBPJ).
Experience in asset tracking systems and maintenance coordination.
Proficient in Microsoft Excel and reporting tools.
