Summary of the Role

We are seeking a highly meticulous and experienced Senior HR Executive / HR Executive to join our dynamic team. This role is crucial for ensuring the accurate and timely processing of payroll, maintaining robust HR administrative systems, and providing comprehensive support across the employee lifecycle. The ideal candidate will possess a strong understanding of payroll regulations, HR best practices, and a proven ability to manage multiple responsibilities with precision and discretion.

Key Responsibilities

As a Senior HR Executive / HR Executive, you will work alongside the HR Director/HR Manager in the full spectrum of HR operations and administration, with a keen interest in establishing yourself as the Subject Matter Expert (SME) for payroll and all payroll-related processes.

Payroll Processing
  • Manage the end‑to‑end payroll cycle for all employees, ensuring accuracy, timeliness and compliance with company policies and local statutory requirements.
  • Calculate and process salaries, bonuses, commissions, allowances and deductions (e.g. taxes, provident funds, insurance premiums).
  • Prepare and submit all necessary payroll reports to internal stakeholders and external government agencies.
  • Reconcile payroll data, resolve discrepancies and respond to employee queries regarding payroll matters.
  • Stay updated on changes in payroll legislation and ensure continuous compliance.
  • Manage and own payroll processing using the internal system (Sage), claims, insurance and benefits administration.
  • Prepare necessary finance reports requiring payroll data and administer payroll audits.
HR Administration & Operations
  • Maintain and update employee records in the HRIS and physical files, ensuring data accuracy and confidentiality.
  • Administer employee benefits programs (e.g. insurance, leave management, claims processing).
  • Prepare HR‑related letters, memos and reports as required.
  • Assist with HR policy implementation and communication.
  • Handle general HR inquiries and provide guidance to employees on HR policies and procedures.
  • Prepare, issue and manage employment contracts for new hires, contract renewals and amendments, ensuring all terms are accurate and legally compliant.
  • Maintain an organised system for tracking contract statuses and expiry dates.
  • Maintain and update employee personal files, leave records and the HR database.
  • Support the HR team on general administrative duties and cover duties for team members whenever necessary.
  • Respond to general requests/inquiries from employees as and when required.
Employee Lifecycle Management
  • Onboarding: Coordinate and facilitate the onboarding process for new hires, including preparing offer letters, conducting orientation sessions, processing necessary paperwork and setting up new employee profiles in HR systems and payroll. Liaise with IT and other departments to ensure new employees have the necessary equipment, access and resources.
  • Offboarding: Manage the offboarding process for departing employees, including exit interviews, final payroll calculations, documentation of exit formalities and ensuring all company assets are returned and relevant accesses revoked.
  • Support HR operations for all stages of the employee lifecycle (on‑boarding/off‑boarding/confirmation/employee letters, etc.).
Ad‑hoc HR Projects
  • Undertake ad‑hoc projects as assigned by the supervisor, contributing to HR process improvements and strategic initiatives.
Who You Are (Qualifications & Skills)
  • Education: Diploma or Degree in Human Resources Management, Business Administration or a related field.
  • Experience: At least 2 years of relevant experience processing and managing end‑to‑end payroll (in‑house).
  • Skills & Competencies:
  • Good interpersonal, communication and presentation skills.
  • Ability to work in a fast‑paced environment, independently with minimal supervision.
  • Demonstrated high degree of integrity and capability to maintain confidentiality.
  • Experience in Sage software will be advantageous.
  • Strong understanding of payroll regulations and HR best practices in Malaysia.
  • Meticulous attention to detail and strong organisational skills.
  • Ability to manage multiple responsibilities with precision and discretion.
