Position Title: Assistant Manager, Employee Relations & Industrial Relations
Division: Human Capital
Reports To: Employee Relations & Industrial Relations Advisor
Location: Kuching, Sarawak, Malaysia
POSITION PURPOSE
The Assistant Manager, Employee Relations & Industrial Relations supports the delivery of end-to-end employee relations and industrial relations services, with primary responsibility for managing day-to-day case handling, investigations, and disciplinary processes.
Working under the guidance of the Employee Relations & Industrial Relations Advisor, the role ensures that employee matters are handled in a fair, timely, and procedurally sound manner in accordance with company policies and applicable employment laws. The incumbent will play a key role in executing case management activities, supporting leaders, and maintaining consistency in the application of ER/IR practices across the organisation.
SPAN OF CONTROL
- Manages assigned employee relations and industrial relations cases end-to-end, with oversight from the Advisor.
- Provides first-line advisory support to managers and Human Capital stakeholders.
- Coordinates with internal stakeholders on investigations, documentation, and disciplinary processes.
KEY RESPONSIBILITIES
1. Employee Relations Case Management
- Manage assigned employee relations cases including grievances, misconduct, and workplace disputes from initial assessment through to resolution.
- Provide practical guidance to managers on handling employee issues in line with company policies and procedural requirements.
- Support early resolution of workplace concerns through fact-finding and mediation support.
- Ensure consistent application of policies and standards of conduct across cases
2. Industrial Relations Support
- Support handling of industrial relations matters including labour office cases, external agency queries, and legacy issues.
- Assist in preparing documentation, timelines, and responses for IR-related matters.
- Monitor case developments and highlight risks or escalation points to the Advisor.
3. Investigations and Disciplinary Process
- Lead or support workplace investigations, including interviews, evidence gathering, and documentation.
- Prepare investigation reports, case summaries, and recommendations for review.
- Manage disciplinary process administration including show cause letters, domestic inquiry coordination, and outcome documentation.
- Ensure all cases are properly documented and aligned with procedural and legal requirements.
4. Performance and Conduct Support
- Support managers in handling conduct-related and behavioural concerns requiring formal intervention.
- Assist in the preparation of performance improvement documentation where required.
- Provide guidance to ensure consistency, fairness, and procedural discipline.
5. Governance and Reporting
- Maintain accurate and complete case records and documentation.
- Support preparation of reports on case status, trends, and risk indicators.
- Ensure compliance with Malaysian employment laws and internal policies.
6. Stakeholder Engagement
- Build effective working relationships with managers and internal stakeholders.
- Support awareness sessions and briefings on ER processes and disciplinary procedures.
- Act as a reliable point of contact for ER/IR queries within assigned scope
QUALIFICATIONS, EXPERIENCE AND SKILLS
- Bachelor’s Degree in Human Resources, Law, Industrial Relations, or related discipline.
- Minimum 6–8 years of relevant experience in Employee Relations / Industrial Relations.
- Hands‑on experience in managing workplace investigations and disciplinary processes.
- Working knowledge of Malaysian employment laws, including domestic inquiry practices.
- Strong case management, documentation, and analytical skills.
- Good stakeholder management and communication skills.
- Ability to handle sensitive matters with professionalism and discretion
