Job summary

Subway is seeking an Operation Executive to oversee administrative and restaurant operations across four Klang Valley locations. You will ensure SOP adherence, regulatory compliance, and preparedness for quarterly audits to maintain service standards and financial accuracy.

You will lead visits, monitor records and reporting, and work with outlet managers to resolve issues, optimize operations, and support profitability across all outlets.

Job description

As an Operation Executive at our Subway restaurant chain, you will play a crucial role in ensuring the smooth operation of administrative and restaurant functions across four locations within the Klang Valley. You will be responsible for maintaining operational efficiency, financial accuracy, regulatory compliance, and consistent service standards across all outlets. You will also be accountable for ensuring that each restaurant is fully prepared to pass quarterly audits.

Key Responsibilities

• Oversee multi-location operations
• Coordinate and monitor daily administrative and restaurant operations across four Klang Valley locations.
• Ensure consistent implementation of company policies, operational standards, and reporting procedures.
• Conduct regular outlet visits and follow up on operational issues.
• Ensure quarterly audit readiness and compliance
• Prepare all outlets for scheduled quarterly restaurant audits.
• Maintain accurate records, supporting documents, checklists, licenses, permits, and operational reports.
• Conduct regular internal inspections before each quarterly audit.
• Identify audit gaps, implement corrective actions, and ensure all findings are resolved promptly.
• Ensure compliance with company policies, food-safety requirements, health and hygiene standards, cash-control procedures, and restaurant SOPs.
• Coordinate with outlet managers and relevant departments to achieve successful quarterly audit results.
• Audit the safe, cash floats, deposits, and daily cash-handling procedures.
• Verify petty-cash usage, supporting receipts, approvals, and remaining balances.
• Investigate and report cash variances or discrepancies.
• Review sales and closing reports
• Check daily sales-closing reports, cash summaries, card payments, delivery-platform settlements, discounts, voids, refunds, and complimentary items.
• Reconcile sales records with the POS system and actual cash deposits.
• Escalate irregularities and ensure timely resolution.
• Ensure SOP compliance
• Confirm that all restaurant teams follow company policies and standard operating procedures.
• Conduct regular checks covering service, food preparation, hygiene, safety, opening, and closing procedures.
• Identify non-compliance and arrange corrective action, coaching, or retraining.
• Monitor ordering and approvals
• Review food, beverage, packaging, and operational supply orders.
• Ensure purchases are based on approved par levels, inventory requirements, sales forecasts, and storage capacity.
• Verify supplier quotations, purchase orders, receiving records, invoices, and management approvals.
• Prevent unauthorized purchases, duplicate orders, and over-ordering.
• Control inventory and minimize wastage
• Monitor stock levels, expiry dates, spoilage, portion sizes, and product usage.
• Review wastage reports and identify the causes of losses.
• Enforce proper stock rotation, receiving, storage, and portion-control procedures.
• Reduce food costs, inventory losses, and unnecessary operational expenses.
• Increase sales and profitability
• Monitor sales performance by outlet, product, shift, and sales channel.
• Identify opportunities to increase sales through upselling, promotions, menu engineering, add-on sales, and improved product availability.
• Work with restaurant managers to improve service speed, customer satisfaction, and repeat business.
• Track sales targets, food costs, labor costs, wastage, and overall profitability.
• Conduct regular outlet inspections and operational reviews.
• Prepare consolidated reports covering all four locations.
• Share findings with management and follow up on agreed action plans.
• Support outlet managers and restaurant teams in achieving operational, financial, audit, and customer-service targets.
