Job summary

Smiths Detection in Malaysia is seeking a highly organized Recruitment Coordinator to support APAC recruitment activities, data management, contractor onboarding, and agency relationships across multiple countries. Job Description

We are looking for a highly organised and proactive Recruitment Coordinator to support recruitment activities across the Asia Pacific region, including Malaysia, Singapore, Australia, New Zealand and India. This role plays a critical part in ensuring a smooth and efficient hiring process by coordinating recruitment activities, maintaining recruitment data, supporting contractor onboarding, managing agency relationships and providing administrative support to the Talent Acquisition team.

Working closely with Talent Acquisition, Hiring Managers, HR and external recruitment partners, you will help drive a consistent and effective recruitment process across a fast-paced transformation programme.

What You'll Be Doing

Recruitment Coordination & Administration

• Coordinate recruitment activities across multiple countries and business functions.
• Raise and manage recruitment requisitions, ensuring information is complete, accurate and aligned with internal processes.
• Support day-to-day recruitment administration and ensure actions are followed through to completion.
• Monitor recruitment activity and ensure requisitions are closed promptly once hiring is completed.

Tracking, Reporting & Data Management

• Create and maintain recruitment trackers to provide visibility of vacancies, hiring progress, onboarding activities and outstanding actions.
• Maintain accurate recruitment records, reports and status updates.
• Monitor risks, elevate issues where required and ensure recruitment data integrity.

Agency & Stakeholder Coordination

• Act as a central point of contact between Talent Acquisition, Hiring Managers, HR teams and external recruitment agencies.
• Coordinate agency communications and recruitment activity across multiple roles and locations.
• Support the onboarding of new agency partners and ensure required documentation and approvals are completed.

Contractor Onboarding Support

• Coordinate contractor onboarding activities and work closely with stakeholders to ensure a smooth onboarding experience.
• Track onboarding requirements and proactively follow up on outstanding actions to ensure agreed start dates are met.

Process & Transformation Support

• Help establish consistent recruitment administration processes across different functions and countries.
• Provide recruitment coordination support for transformation and change initiatives as required.
• Support SAP purchase requisition creation and invoice administration processes.

Qualifications

What We're Looking For

• Previous experience in Recruitment Coordination, Talent Acquisition, HR Administration, Resourcing or a similar coordination role.
• Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.
• Excellent administrative skills and strong attention to detail.
• Experience maintaining trackers, coordinating actions and ensuring deadlines are met.
• Strong stakeholder management and communication skills.
• Ability to work collaboratively across teams and functions.
• Proficiency in Microsoft Excel, Outlook, Teams and other Microsoft Office applications.
• Comfortable working with recruitment systems, HR platforms or Applicant Tracking Systems (ATS).
• A proactive approach with the confidence to follow up on outstanding actions and drive tasks to completion.
• Ability to work with accuracy, pace and consistency in a dynamic environment.

• Experience working in a multinational or matrix organisation.
• Exposure to Applicant Tracking Systems (ATS) and HR systems.
• Experience coordinating recruitment agencies and external hiring partners.
• Experience supporting contractor recruitment and onboarding.
• Previous involvement in transformation, change management or high-volume recruitment programmes.
• Exposure to SAP purchase requisition or invoice processing activities.
