Phili-Orient Logistics is seeking a Quotation Executive (Freight) to join our logistics team in Malaysia. You will prepare competitive freight quotations, coordinate with customers, overseas agents, vendors, and internal teams to deliver timely responses and cost-effective solutions.
The role requires a Bachelor’s degree in a related field, at least 2 years of freight forwarding experience, and strong Excel/Word skills along with English and Bahasa Malaysia proficiency.

Handle enquiries and booking requests from customers, sales teams, and overseas agents.
Follow up with customers, overseas offices, and sales teams to obtain feedback and approval on quotations.
Build and maintain good working relationships with customers, overseas partners, and internal stakeholders.
Analyse customer enquiries and identify the most cost-effective and suitable freight solutions.
Prepare accurate freight quotations based on shipment requirements and agreed terms.
Perform detailed costing calculations using the company's quotation system.
Obtain the necessary approval from the Sales Team and HOD before issuing quotations.
Issue final quotations to customers and overseas agents within the agreed turnaround time.
Coordinate closely with local and overseas colleagues, vendors, and business partners to obtain accurate pricing and service information.
Support the Sales and Customer Service teams in freight costing and rate negotiations whenever required.
Work collaboratively with cross-functional teams to ensure smooth communication and service delivery.
Maintain accurate quotation records and supporting documentation in accordance with company procedures.
Monitor monthly progress against assigned goals and Key Performance Indicators (KPIs).
Collaborate with the Marketing, Sales, Airfreight, and Customer Service teams to improve sales performance and increase quotation strike rates.
Bachelor's Degree in Logistics, Transportation, Business Studies, or a related field is preferred.
Minimum 2 years of working experience in freight forwarding or the logistics industry.
Good knowledge of Incoterms, freight forwarding processes, and shipment costing.
Strong analytical skills with the ability to perform accurate costing and data analysis.
Proficient in Microsoft Excel and Microsoft Word.
Good command of both spoken and written English and Bahasa Malaysia.
Strong communication and interpersonal skills with the ability to work effectively with customers, overseas agents, vendors, and internal teams.
Detail-oriented, well-organised, and able to manage multiple quotation requests within deadlines.
Able to work under pressure and overtime when required to meet business needs.
