Project Admin Executive (Scaffold & Metal)

HG SERVICES (M) SDN BHD is seeking a Project Admin to support the Scaffold & Metal Department in organizing and managing daily project schedules. Ensuring the correct scheduling, tracking, and coordination of administrative work from client confirmation to completion is crucial in this role.

You will work closely with the HOD and liaise with both internal and external teams to ensure all work progresses according to plan. This position is based at our Puchong office.

Duties & Responsibilities
  • Prepare quotations, issue invoices, and facilitate the collection of payments.
  • Coordinate and monitor payments to subcontractors to ensure prompt settlement.
  • Manage daily operational responsibilities and compile monthly reports for management evaluation.
  • Support the procurement of team supplies, encompassing sourcing, coordination, and documentation.
  • Oversee the management of team member listings and updates, encompassing applications for EHS, Safety Pledge, work passes, and safety briefings across multiple malls and project sites.
  • Coordinate and facilitate the processing of work permits in close collaboration with internal teams and clients.
  • Assist in monitoring and scheduling the support scaffold inventory to ensure its availability and optimal utilisation.
  • Assist in overseeing metal inventory documentation and tracking stock quantities.
  • Undertake all duties, tasks and responsibilities as required by management.
Job Requirements
  • Diploma/Degree in Business Administration, Project Management, or a related field.
  • 1-3 years of experience in a project coordination or administrative role, preferably within the construction industry.
  • Proficiency in the use of the MS Office suite, including MS Excel, MS Word, and MS PowerPoint.
  • Strong organizational and communication skills.
  • Able to work independently and follow instructions directly from the HOD.
