Job summary

Jora Malaysia is seeking a Production Data and Administrative Assistant to collect daily production data from lines and operators, and to maintain accurate records across output, downtime, rejection, scrap, and efficiency. You will update data into ERP systems or spreadsheets, verify accuracy, and support the Production Department's administrative tasks.

Responsibilities

• Collect and record daily production data from production lines and operators.
• Maintain accurate records of production output, downtime, rejection, scrap, and efficiency.
• Update production data into ERP systems, spreadsheets, or other company systems.
• Verify production data for accuracy and completeness.
• Follow up with production personnel regarding missing or incorrect information.
• Maintain proper filing and documentation of production records.
• Prepare daily, weekly, and monthly production reports.
• Prepare reports on production output, machine downtime, rejection, wastage, and productivity.
• Assist in preparing production KPI reports and performance summaries.
• Compile data for management review and production meetings.
• Highlight significant variances or unusual production results to the Supervisor or Manager.
• Provide general administrative support to the Production Department.
• Prepare documents, forms, records, memos, and correspondence.
• Maintain proper filing systems for production and administrative documents.
• Assist with meeting arrangements, minutes, and follow‑up actions.
• Monitor production‑related stationery, forms, and office supplies.
• Handle data entry and document updates accurately and promptly.
• Assist the Production Supervisor in monitoring daily production activities.
• Coordinate with Production, Planning, Warehouse, Quality, Maintenance, and other relevant departments.
• Assist in tracking production orders and work orders.
• Follow up on pending production information and documentation.
• Support shift handover documentation and communication.
• Assist in recording material usage and production consumption.
• Monitor and update production material records where required.
• Assist in reconciling production quantities with material usage.
• Report discrepancies between production records and inventory records.
• Maintain production‑related quality records and inspection documents.
• Ensure documents are completed according to company procedures.
• Assist with documentation required for internal and external audits.
• Ensure production records are properly filed and readily available when required.
• Assist in analyzing production data to identify trends and variances.
• Support the preparation of charts, summaries, and presentations for management.
• Assist in identifying areas for improvement in productivity, downtime, rejection, and wastage.
• Support continuous improvement and 5S activities within the Production Department.
