Job summary

HYRED in Malaysia seeks an experienced Procurement & Sourcing Manager to lead supplier onboarding, negotiation, and cost control. You will develop strategies aligned with growth, coordinate with product design and production teams, and manage supplier performance to meet budget and delivery targets.

You will drive cost savings, manage supplier relationships, and ensure compliance across procurement activities, while mentoring a lean sourcing team to achieve continuous improvement.

Qualifications

  • Bachelor’s degree in Supply Chain Management, Procurement, Logistics, or related field.
  • 4–5 years hands-on procurement and sourcing experience, preferably with customised products.
  • Experience with overseas suppliers, especially in Asia/China.
  • Proven ability to negotiate prices and manage purchase orders.
  • Leadership or team-management experience is preferred.
  • Professional procurement certification (CIPS, APICS, CSCMP) is advantageous.

With more than 20 years of industry experience and operations across key Asian markets, we specialise in customised promotional products, gift-with-purchase programmes, retail displays, and multi-market campaigns.

Role Overview

We are seeking an experienced and proactive Procurement & Sourcing Manager to lead our procurement and supplier-sourcing activities.

The successful candidate will be responsible for identifying and developing suitable suppliers, securing competitive pricing and commercial terms, managing product costs, and ensuring that all sourced products meet the company’s quality, budget, and delivery requirements.

This role requires strong hands‑on sourcing experience, commercial judgement, supplier‑management capabilities, and the ability to collaborate with product design, production, sales, finance, and logistics teams. Experience sourcing customised products from China would be highly advantageous.

Key Responsibilities
Strategic Sourcing and Procurement
  • Develop and implement procurement and sourcing strategies aligned with company objectives, customer requirements, and business growth plans.
  • Source customised promotional merchandise, gift-with-purchase items, packaging, displays, components, and related materials.
  • Identify, evaluate, qualify, and onboard suitable local and overseas suppliers.
  • Issue requests for quotations and compare suppliers based on pricing, quality, capabilities, lead times, minimum order quantities, payment terms, and delivery performance.
  • Recommend sourcing options that provide the best balance of cost, quality, innovation, reliability, and speed.
  • Maintain an approved supplier database and develop alternative supply sources for critical products and materials.
  • Stay informed about product, material, manufacturing, and sourcing trends to support new ideas and customer requirements.
Supplier and Commercial Management
  • Negotiate product pricing, tooling costs, minimum order quantities, payment terms, production lead times, delivery schedules, and other commercial conditions.
  • Prepare detailed product‑cost comparisons and identify opportunities for cost savings and value improvement.
  • Monitor raw‑material prices, currency movements, freight costs, and other factors that may affect product costs.
  • Build and maintain strong working relationships with suppliers, manufacturers, and other external partners.
  • Conduct regular supplier reviews covering cost, quality, responsiveness, capacity, compliance, and delivery performance.
  • Work with underperforming suppliers to implement corrective action plans.
  • Resolve supplier‑related commercial, quality, production, and delivery issues in a timely manner.
Product Development and Production Coordination
  • Work closely with product design, sales, operations, and suppliers to translate product concepts into commercially viable solutions.
  • Assess supplier capabilities and advise internal teams on materials, production methods, costs, lead times, and minimum order requirements.
  • Coordinate quotations, product specifications, samples, prototypes, tooling, and pre‑production approvals.
  • Ensure approved specifications, quality standards, pricing, and delivery requirements are clearly communicated to suppliers.
  • Monitor procurement and production timelines from order confirmation through final delivery.
  • Support quality assurance activities and coordinate corrective action when products do not meet approved requirements.
Purchase and Order Management
  • Review and approve purchase requirements in accordance with company policies, budgets, and project needs.
  • Ensure purchase orders contain accurate product specifications, quantities, prices, payment terms, and delivery dates.
  • Monitor outstanding purchase orders and follow up with suppliers on production and shipment status.
  • Maintain complete and accurate procurement records, including quotations, cost comparisons, contracts, purchase orders, approvals, and supplier correspondence.
  • Coordinate with finance on supplier payments, deposits, credit terms, and invoice discrepancies.
  • Collaborate with logistics and operations teams to support shipping, customs clearance, warehousing, and final delivery.
Performance, Compliance, and Risk Management
  • Establish and monitor procurement KPIs, including cost savings, supplier performance, quality, lead‑time adherence, and on‑time delivery.
  • Prepare regular procurement reports, cost analyses, and supplier‑performance updates for management.
  • Identify procurement and supply risks and implement appropriate mitigation or contingency plans.
  • Maintain backup suppliers for critical products, materials, and production capabilities.
  • Ensure suppliers comply with applicable legal, ethical, environmental, product‑safety, and quality requirements.
  • Support supplier audits, documentation reviews, and compliance assessments where required.
  • Drive continuous improvement across procurement, sourcing, costing, and supplier‑management processes.
  • Lead, coach, and develop members of the procurement and sourcing team.
  • Set clear goals, responsibilities, and performance expectations.
  • Provide guidance on supplier selection, negotiation, costing, and issue resolution.
  • Promote accountability, collaboration, commercial awareness, and continuous improvement within the team.
  • Ensure procurement activities are managed efficiently and in accordance with company policies.
Qualifications and Experience
  • Bachelor’s degree in Supply Chain Management, Procurement, Logistics, Business Administration, or a related field.
  • 4 to 5 years of relevant experience in procurement and sourcing, preferably involving customised products, promotional merchandise, consumer goods, packaging, or manufacturing.
  • Demonstrated hands on experience identifying suppliers, obtaining quotations, negotiating prices, and managing purchase orders.
  • Proven ability to manage product costing and achieve measurable cost savings.
  • Experience working directly with overseas suppliers and manufacturers, particularly in China or other Asian markets, would be a strong advantage.
  • Experience coordinating product development, sampling, production, quality, and delivery timelines.
  • Previous leadership or team‑management experience is preferred.
  • Professional procurement or supply chain certification, such as CIPS, APICS, or CSCMP, would be an advantage.
