Boston Scientific Medical Device (Malaysia) Sdn. Bhd. is seeking a Payroll Process Supervisor to support the Finance Manager on payroll projects and regional initiatives.

You will apply advanced payroll principles, ensure compliance with local laws, design audits, and drive efficiency with the outsource partner. Responsibilities include on-time, accurate payroll processing, Kronos system setup, and audit lead for the payroll function.

Qualifications

  • Bachelor's degree in HR management, business, finance, or related field.
  • 5–10 years of payroll experience in a multinational environment.
  • Strong knowledge of payroll processing, statutory compliance, and payroll taxation.
  • Experience with payroll and time & attendance systems.
  • Hands-on expatriate and assignment payroll administration.
  • Strong project and stakeholder management skills.

Responsibilities

  • Ensure staff are paid accurately on time in compliance with laws.
  • Manage relationship with HR Service Centre and payroll provider SLAs.
  • Set up new employees for payroll, manage ad hoc payments.
  • Oversee expatriate payroll and revenue compliance requirements.
  • Support audits and year-end payroll processes.
  • Develop and implement payroll process improvements with outsource partner.
  • Produce management reports and analytics on payroll costs.
  • Lead Kronos timekeeping setup and maintenance.
  • Train supervisors on Kronos timekeeping and codes.

The Payroll Process Supervisor supports the Finance Manager in all special projects and company initiatives that impact the Payroll organization. The Payroll Process Supervisor works independently and applies advanced payroll principles and knowledge to ensure standard operating procedures are followed, compliance to all local legal requirements relating to payroll, designs and implements payroll audit processes and methodology, focal contact with outsource provider, and manages payroll efficiency and accuracy initiatives.Primary responsibilities for this position include pay results validation and confirmation using applied audit principles and designed controls. Develop, manage and implement continued process improvement initiatives, standardization, and efficiency goals in collaboration with outsource partner.

Job Responsibilities:

  • Ensure all site staff are paid on time , correctly, in full and in compliance with all legal requirements
  • Management of payroll relationship with HR Service Centre.
  • Management of 3rd party payroll service provider to SLA
  • Set up of all new employees for payroll purposes
  • Manage ad hoc or one off payments
  • Expatriate payroll processing and adherence to Revenue requirements.
  • Ensuring compliance with Statutory/SOX and Company legislation/policy.
  • Site Lead for Internal/External audit for the Payroll function.
  • Payroll Month End Accounting.
  • Analyse comp and ben spend versus plan
  • Analyse actual labour cost per hour
  • Return of all Payroll related statutory returns, external reports.
  • Provision of Management reports in relation to the Payroll function.
  • Employee Expense - Policy setting, communication and supervision of payment process.
  • To establish and support a work environment of continuous improvement that supports BSC’s Quality Policy, Quality System and the appropriate regulations for the area.
  • Site lead of Initial set up of Kronos time and recording system
  • Enter any manual data needed such as cost centres, badges, shift patterns, work centres
  • Set up Kronos codes and ensure the correct codes are used by employees/supervisors
  • Expert on Kronos rules and how they relate to employee pay, set up new rules and maintain
  • Training of site supervisors to correctly sign off employee Kronos time sheets and manage time allocations to the correct codes
  • Ensure employee time cards are signed off on time and are complete
  • Annual system maintenance, support system upgrades and updates
  • Develop non-standard reports in conjunction with the Kronos IT team as required to run the business
  • Analysis of paid hours for labour efficiency calculations
  • Payroll and finance admin
  • Manage finance element of quality first bonus plan

Job Requirements:

  • Bachelor's Degree in Human Resource Management, Business Management, Finance, Administration, or related field.
  • 5-10 years of payroll experience in an industry / multinational company.
  • Strong knowledge of payroll processing, statutory compliance, and payroll taxation.
  • Experience with payroll and time & attendance systems.
  • Hands-on experience in expatriate and assignment payroll administration.
  • Strong project management and stakeholder management skills.
  • Ability to work independently and manage multiple priorities.
  • Experience in payroll accounting and reporting.

Payroll forecasting and tax forecasting experience is an added advantage.
