We are looking for an organised, responsible and proactive individual with strong coordination and follow-up skills. The ideal candidate should be able to work across multiple departments, understand the overall operational picture, analyse information, identify and highlight issues, manage changing priorities, and ensure management instructions and action items are followed through to completion.
Key Responsibilities
Management Planning & Coordination
- Support Management in coordinating daily, weekly and monthly operational priorities.
- Coordinate across departments to ensure plans, instructions and management decisions are communicated and followed up.
- Track key projects, operational matters, deadlines and outstanding action items.
- Follow up with respective department PICs on progress, delays and unresolved issues.
- Coordinate meetings and ensure agreed action items are properly recorded, assigned and completed.
- Identify matters requiring management attention and elevate them promptly.
- Assist management in coordinating ad-hoc operational requirements and improvement initiatives.
Cross-Department Operations
- Work closely with Production, Engineering/Maintenance, QA, Warehouse, Logistics, HR/Admin and other departments.
- Understand each department’s priorities, constraints and outstanding matters.
- Coordinate activities where several departments are involved.
- Follow up on manpower, production, maintenance, quality, inventory, delivery and other operational matters when required.
- Help resolve communication and coordination gaps between departments.
- Verify information and actual status with the relevant PICs before reporting to management.
Reporting & Performance Monitoring
- Collect and consolidate operational information from different departments.
- Prepare daily, weekly and monthly management reports.
- Monitor key operational indicators, departmental performance and outstanding issues.
- Analyse actual results against plans, targets and deadlines.
- Highlight delays, recurring problems, abnormal results and areas requiring management attention.
- Maintain clear records of management instructions, action items and completion status.
- Prepare summaries, presentations, spreadsheets and other reports for management review.
- Assist in operational planning, manpower planning and resource coordination.
- Review existing workflows and identify opportunities to improve efficiency and coordination.
- Support the development and implementation of SOPs, checklists, reporting formats and internal controls.
- Assist with new projects, automation, system implementation and process improvement initiatives.
- Follow up on corrective and improvement actions until closure.
- Support management in improving accountability and communication across departments.
Requirements
- Diploma or Degree in Business Management, Operations Management, Manufacturing, Industrial Engineering or a related field.
- At least 2 years of relevant experience in operations, manufacturing, management coordination or a similar role is preferred.
- Food Manufacturing or factory experience is an advantage.
- Strong planning, coordination and follow-up skills.
- Comfortable communicating and coordinating with employees from different departments and levels.
- Able to analyse information and prepare clear management reports.
- Good working knowledge of Microsoft Excel, Word and PowerPoint or similar digital tools.
- Good communication and problem-solving skills.
- Able to work independently and follow matters through to completion.
- Able to communicate in English; ability to communicate with the local workforce is an advantage.
